Job Description:

About the Role

We are seeking a passionate and organized Executive Assistant interested in working in a fast-paced environment to support the Chief Content Officer (CCO). This role is ideal for a candidate interested in working for the Entertainment Content Team.

What You'll Do:

  • Provide a daily recap and overview of upcoming meetings. Ensure effective meeting preparation by gathering and preparing necessary materials.

  • Act as the point of contact between the executives and internal/external clients.

  • Utilize clear and concise verbal, written, and interpersonal communication skills

  • Determine the importance of internal and external meeting requests, prioritize and schedule accordingly, and communicate schedule to requestor

  • Interact professionally, diplomatically and effectively with staff and high-profile clients on the phone and in person

  • Organize and maintain CCO’s Outlook calendar and contact list

  • Protect and maintain confidentiality of CCO’s office information and activities

  • Maintain and follow-up on time-sensitive tasks, creating processes and system where needed

  • Prepare detailed presentations and spreadsheets for internal and external use

  • Organize, prepare and process executive expense reports; review and evaluate expense reports submitted for CCO approval. Invoice administration, departmental expenses, and budget tracking support.

  • Serve as project coordinator for team projects: prepare and log project correspondences, control document-version library, prepare minutes, coordinate project meetings, team member schedules and other logistic arrangements

  • Manage agendas for regular department meetings and special events

  • Arrange domestic and international travel, transportation and accommodations in conjunction with Corporate travel; prepare comprehensive and detailed itineraries

  • Coordinate and schedule appointments, meetings, events, and prepare/organize participant materials

  • Type and proof letters, e-mails, memos, or other correspondences

  • Maintain and organize executive personal network drive and hard copy filing systems

  • Perform personal errands as needed, e.g. picking up lunch, etc

  • Provide phone coverage as needed to other Executives

What You'll Need:

  • 2+ years of executive assistant experience supporting a senior executive

  • College diploma required; Associate’s or Bachelor’s degree preferred

  • Expert level proficiency with Microsoft Office: Word, Excel, Outlook, and PowerPoint/Keynote.

  • Project management skills; ability to prioritize multiple projects and adjust workload accordingly

  • Ability to work well under pressure, juggle tasks and work efficiently against deadlines.

  • Experience with web-based meeting applications, e.g., Web Ex, LiveMeeting

  • Entertainment industry experience is an asset

  • Exemplary customer/client service skills required: proven ability to effectively and professionally interface with high-profile clients and staff members at all levels of the organization

  • Excellent organizational skills and attention to detail required: demonstrated ability to set priorities, meet deadlines, and successfully manage multiple projects and tasks in an environment of shifting priorities and deadlines

Compensation:

56,334.00 - 80,000.00
