We are looking for an experienced and highly organized Document Coordinator to support document management activities across engineering projects and proposals. This role plays a critical part in ensuring the accuracy, consistency, and timely delivery of technical documentation while supporting a large engineering team and maintaining operational continuity.
The successful candidate will work closely with a senior team member and must be able to independently manage document workflows, handle fluctuating workloads, and maintain high-quality standards in a fast-paced, deadline-driven environment.
Responsibilities
- Edit, format, and proofread technical documents to meet internal standards and client requirements
- Coordinate document workflows across multiple projects, ensuring deadlines and quality expectations are met
- Maintain accurate records within the document management system and ensure proper filing and version control
- Distribute documents electronically to clients and maintain associated data management records
- Support proposal-related documentation and provide coverage for senior team member when required
- Serve as the primary point of contact for document-related activities across assigned projects
- Prepare and maintain operational reports, including timesheets and utilization tracking
- Provide general support for data centre and library functions, including printing, scanning, and maintaining resources
- Bachelor’s degree in Arts, Communications, Journalism, or a related field, or equivalent experience
- Minimum of four to five years of relevant experience in document coordination, editing, or a similar function
- Advanced proficiency in Microsoft Word and strong experience with document formatting and editing tools
- Strong organizational, time management, and multitasking skills with the ability to manage competing priorities
- Exceptional attention to detail with a strong focus on accuracy and quality
- Experience working in a technical or engineering environment is preferred
- Strong communication skills with the ability to collaborate effectively with internal and external stakeholders
- Ability to work independently, demonstrate initiative, and adapt to changing priorities
- Must be comfortable working in a hybrid environment with a requirement to be in the office four days per week
- Ability to manage fluctuating workloads and meet tight deadlines
- Must be eligible to obtain Top Secret security clearance due to the nature of the work
- Experience with proposal support and familiarity with AI tools is considered an asset
- Ability to maintain confidentiality and exercise sound judgment when handling sensitive information
