Workplace Experience Coordinator

This is a full-time role based in our Vancouver, BC Office.
Reporting to the Director of Facilities & Administration, the Workplace Experience Coordinator provides outstanding service and support, promoting a positive and professional image for Alida’s Vancouver office. This role works to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication, and safety so that Alida-employees are supported to do their best work in the workplace.
The Workplace Experience Coordinator ensures the smooth running of the office, creates & executes on fun employee engagement initiatives, and helps to improve company procedures and effectiveness in the day-to-day operations.
What you’ll work on:
- Manage inventory of office supplies, maintain the office condition, and arrange necessary repairs to equipment
- Greet visitors and assist in the onboarding process for new hires
- Liaise & manage relationships with building maintenance representatives & associated trades, office vendors, and couriers as well as with facility management vendors, cleaning staff, catering and access card services
- Manage budgets relating to office supplies & employee engagement activities
- Update & maintain office policies as necessary, in collaboration with the HR team, organize office operations and procedures, coordinate with IT department on office equipment and infrastructure, manage contract and price negotiations with office vendors & service providers
- Address employee requests regarding office management issues, coordinate and oversee execution of logistics for all onsite events
- Manage office health and safety programming, ensuring compliance to all program requirements
- Physically carry-out minor furniture repairs & moves when needed (regularly required to stoop, kneel, bend, crouch and lift up to 15 pounds)
You should have:
- Proven experience as a Workplace Experience Coordinator, Front Office Manager or Administrative Assistant
- Experience with a variety of office software tools including Gmail, Google Drive, Slack, Zoom, SAP Concur. Experience with ServiceNow is a plus.
- Exceptional attention to detail, excellent time management skills and ability to multi-task and prioritize tasks,
- Exceptional organizational skills - this role is full of putting out little ‘fires’ every day, as well as juggling the planning of future initiatives
- Strong interpersonal skills - you create a warm and inclusive environment.
- You enjoy making others feel welcomed and comfortable in our office
- Excellent written and verbal communication skills,strong sense of professionalism and diplomacy with demonstrated ability to establish and maintain relationships with internal and external business partners
- Strong organizational and planning skills in a fast-paced environment, a inquisitive, curious and creative mind with an ability to recognize & suggest improvements.
