What you will do:
In this role, you'll play a crucial part in the onboarding and transition process for new brokerages and teams, ensuring a smooth and efficient integration into our system. Your tasks will include communication, planning, coordination, and support activities that are vital for our growth and operational efficiency.
  • Lead the Discovery Call with the Team Leader to discuss eXp team structures, the joining process, and team requirements, and gather essential information for determining the need for a CEA or other exceptions.
  • Develop a detailed timeline and transition plan, overseeing the brokerage's transition from pre-onboarding to active status, including post-onboarding support.
  • Regularly perform follow-up check-ins with leads through calls or emails to establish a preferred contact frequency.
  • Coordinate and participate in planning & logistics meetings beyond Discovery Calls with the broker and other departments as needed.
  • Act as a liaison between sponsors and broker owners, managing expectations throughout the onboarding process.
  • Initiate contact with the Team Leader for organic leads to arrange a Discovery Call.
  • Collect and process external documents such as proof of production and team rosters, and evaluate Production Reports for Team Structure qualification and approval.
  • Notify Brokerage Operations and Transactions Operations about incoming Teams/Brokerages.
  • Follow up for any pending documents from team leaders or admins, with support staff handling document uploads.
  • Keep track of metrics and reports using tools like Google Forms, spreadsheets, and HubSpot.
  • Complete necessary details in HubSpot tickets, dispatch welcome emails, and make introductory calls or texts to agents.
  • Develop a strategy for retention of team agents in assigned region
  • Perform designated job tasks efficiently and within the provided time frame.
  • Maintain regular communication with team members and supervisors through email, instant messaging, video conferences, or other designated communication channels.
  • Attend virtual meetings, provide updates on progress, and actively participate in discussions.
  • Adhere to company policies and guidelines, including data security and confidentiality.
  • Complete assigned projects, assignments, or tasks with attention to detail and quality.
  • Manage and prioritize workload effectively to meet deadlines and deliver results.
  • Continuously update job knowledge by participating in training opportunities or self-directed learning.
  • Collaborate with colleagues on shared documents or projects using remote collaboration tools.
  • Take ownership of assigned work and demonstrate initiative in identifying and addressing challenges.
  • Ensure availability and responsiveness during agreed-upon working hours.
How you will grab our attention:
  • High school diploma required or equivalent years of applicable experience
  • 0-2 years experience
  • Associate's degree preferred
  • Excellent communication skills both written and verbal
  • Agile/Flexible attitude
  • Strong attention to detail is required
  • Excellent customer service abilities: written and verbal communication must be superb
  • Excellent critical thinking and problem-solving skills
  • Team player - able to complete individual tasks as well as work on a team to accomplish a goal
  • Experience in the real estate industry strongly preferred
  • Experience in coordinating events and group activities
  • Conflict resolution and active listening: the ability to assess a customers need or concerns and deliver solutions using critical and creative thinking
  • Proficient knowledge of G Suite is required; Microsoft Office experience is a bonus
  • Remote Work experience required
  • Dedicated home-office/work space
  • Advanced Trello experience preferred
  • Aptitude for using online platforms and software to work remotely
