Job Description

We're looking for an Office Administrator. This is a full-time contract position. We only accept applications from Canada for this position at this time.

This person will have to maintain, organize, and juggle priorities in an ever-changing environment. The job will be challenging, fast paced, and incredibly rewarding. As an office administrator reporting to the Chief Operating Officer, you’ll be required to have a finger on the pulse of the leadership team and gain a solid understanding of the business - this role offers a huge learning opportunity.

Responsibilities

Process Improvement

  • Proactively solve operational inefficiencies and recommend solutions.
  • Proactively integrate into the business to gain a more complete understanding of each teams’ current projects and needs.

Administration

  • Stay close to the management team’s responsibilities, which could include following up on to-do items/reminders, sharing updates, and informing them of critical discussions and priorities.
  • Coordinate or managing projects on the team’s behalf, where possible
  • Support event team planning, trade-show attendance, and travel coordination
  • Lead the employee on/off-boarding process, office administration.
  • Be the go-to for team benefits plans.
  • Manage compliance and legal tasks (regular compliance reporting and checks; interface with company’s legal team re: resolutions, agreement updates; employment agreements, etc.)
  • General inquiry phone calls/email filtering, forwarding.
  • Manage allocation of computer equipment to new hires

Finance/Analytics

  • Support financial month-end processes/coordination with bookkeeper and accountants
  • Manage internal payroll processes.
  • Support board and shareholder reporting
  • Support with excel-based reporting.

Team Support

  • Support sales team with client presentation and demo preparation
  • Support Customer Success Team with client onboarding tasks, triaging, and validating customer requests/bug reports
  • Coordinate or managing projects on the team’s behalf, where possible

Bonus experience:

  • Leadership communication experience
  • Project management experience
  • Understanding of basic software engineering principles

Preferred Skills and Experience

  • Bachelor’s degree or equivalent College program
  • 5+ years in similar role
  • Related experience and/or education in office management and administration, or proven track record of success in helping start-ups, small businesses.
  • Strong working knowledge of excel.
