Commercial Building Operator

On behalf of our client, we are seeking an intermediate to senior-level Building Operator to join their Property Management & Operations team, reporting to the Property Manager. This individual will possess the ability to effectively manage day-to-day operations on site, bring a solutions-focused mindset, communicate ideas clearly, and ensure alignment between tenants, contractors and management. The successful candidate will be a highly motivated team player with the ability to operate in a lean team.

Responsibilities

  • Serve as Key Operator for a nearly 1M sq. ft. suburban office and industrial portfolio.
  • Conduct regular property walkthroughs to identify maintenance needs and capital improvements, contributing to long-term asset planning and budget forecasting.
  • Oversee general property upkeep, including minor repairs and visual maintenance, while coordinating with approved contractors for HVAC, plumbing, and electrical issues.
  • Manage preventative maintenance programs and ensure accurate documentation of completed work in compliance with operational standards.
  • Supervise on-site contractor activity, ensuring adherence to safety protocols, insurance requirements, and proper work approvals.
  • Act as the primary point of contact for tenant inquiries, addressing day-to-day concerns and coordinating after-hours support through a rotating on-call schedule.
  • Assist in procurement processes, including obtaining vendor quotes, preparing purchase orders, and ensuring timely invoice submissions.
  • Track and report utility usage by recording meter readings for common areas and vacant units, maintaining accurate records to support operational efficiency.
  • Collaborate with the Property Manager and legal team on delinquent accounts, supporting receivables collection and tenant chargeback documentation.
  • Support sustainability and risk management initiatives by participating in inspections (e.g., RiskCheck, FM Global) and maintaining compliance with BOMA BEST and LEED reporting requirements.
  • Review and validate contractor invoices against purchase orders and service agreements to ensure billing accuracy and contract compliance.
  • Contribute to the preparation of annual budgets, identifying necessary maintenance contracts, repairs, and capital projects across the portfolio.

Qualifications

  • 2+ years of progressive administrative experience within a building operations team
  • Minimum Grade 12 education with a BES designation
  • Valid Ontario Class G driver’s license with a clean driving abstract
  • Knowledge of industrial and office properties, with a focus on property operations
  • Mechanically inclined, with basic knowledge of electrical and mechanical systems
  • Experience with basic preventative maintenance and construction practices
  • Proficient in reporting processes and a foundational understanding of property management principles
  • Strong analytical skills with a high attention to detail and ability to meet strict deadlines
  • Excellent oral and written communication skills and a strong team-oriented mindset
  • Takes initiative and demonstrates confidence in decision-making
  • Proficient in Microsoft Office; knowledge of Yardi is considered an asset
  • Bright and analytical, with strong problem-solving abilities using logical processes
  • Able to adapt to changing priorities while consistently delivering results

Job Type: Full-time

Pay: $65,000.00-$85,000.00 per year
