Facilities Operator

We are seeking a Facilities Operator who will be responsible for the overall operations, maintenance, safety, security, and functionality at one of Blue Ant Media’s Production offices in Toronto to ensure it is a safe and accommodating space that meets the needs of the organization and its employees and ensures compliance with health and safety standards. This role will report into the Manager, Office Services.

Core Responsibilities & Duties

Building Management

  • Monitor and maintain general condition and cleanliness of the office by performing daily walkthroughs of all areas and resolving any deficiencies as required. Inspections include, but not limited to lighting, HVAC, security systems, fire systems, thermostats, fixtures and furniture, décor, physical building structure such as floors walls and ceilings, sump pumps, plumbing, doors and windows, washrooms, faucets, garbage and recycling programs, janitorial, pest control, appliances, printer equipment, and office signage.
  • Inspection of the grounds and exterior of the building, including for bird nests, broken windows, debris, hazards, and repairs.
  • Complete minor building maintenance and small repairs as required; may include assembling furniture, changing lightbulbs, changing water filters, resetting alarms, and rooftop clearing.
  • Oversee and maintain office equipment in good repair for uninterrupted functionalities.
  • Manage Master Key Box; maintain and update key list and manage key inventory and sign-outs assuring that keys are returned once signed out.
  • Manage security systems at the Production office, including administration of Fobs/Security cards.
  • Assist with new hire onboarding office orientation tour, security system demo, and space planning in consultation with the Manager, Office Services.
  • Manage the Joint Health and Safety Committee: Ensuring that the facility meets the provincial Environmental Health and Safety Standards, prepare quarterly meetings with production teams, perform workplace inspections, and ensure Health and Safety Board is up to date with current team members and Green Book.
  • Support with any changes required to office space, movement of furniture and equipment or other projects.
  • Event Support, including setup and tear down of space based on the event needs, assisting with purchasing and distribution of supplies.
  • Garbage and Recycling bins - remove cardboard and other garbage to bins, collect and dispose of e-waste with appropriate vendor.
  • Receive and store deliveries as required.
  • Liaising with the subtenants to ensure they are informed about any maintenance and repairs in the building, including HVAC, Fire System, Sprinklers, and Security Alarms.
Security and Fire Systems

  • Act as Emergency Contact for the building.
  • Act as Chief Fire Evacuation Warden and point of contact for Fire Systems leading team of evacuation wardens with training, up-to-date evacuation routes and muster points, fire drills and assure all documentation is complete and logged as per the fire safety plan.
  • Ensure the security system is operating normally, doors and windows are secure, and monitoring the camera footage as required to ensure the office is safe and secure.
Vendor Management

  • Scheduling external vendors to complete maintenance and repair work as required in accordance with contracts, corporate policies, legislated requirements, and within the approved budget to meet business needs. Working with the Manager, Offices Services for discussions regarding replacing vendors when necessary, holding vendors accountable, and addressing issues when they arise.
  • Compare and evaluate potential vendors for office purchases, gather quotes and make recommendations to the Manager, Office Services, regarding opportunities to reduce costs and build financial efficiencies.
  • External services include but not limited to mat service, pest control, janitorial, HVAC, window washing, elevator servicing, fire extinguisher and alarm system checks monthly.
Administration

  • Maintain and update operational files to remain in compliance with local regulations.
  • Purchase supplies and materials tracking supplier invoices through approval to payment.
  • Manage facilities expenditures as per budget.
Qualifications and Experience
  • 5-10 years of experience in building operations and management
  • Strong organizational and communication skills (both verbal and written)
  • Good interpersonal relationship skills and exceptional attention to detail
  • Self-motivated and proactive individual
  • Ability to prioritize with proven creative thinking and problem-solving skills
  • Ability to work independently and meet deadlines
  • Must be able to lift up to 50 lbs
  • Proficient with Microsoft Office Suite
