Location: Hamilton, Ontario (with occasional travel to St. Catharines properties as needed)

Position Summary

We're seeking a Facilities & Property Operations Manager to join our team. This critical role is responsible for the comprehensive maintenance, operations, and preservation of our existing property assets, primarily within Hamilton, with occasional travel to St. Catharines. If you're a highly organized, proactive, and technically proficient individual committed to ensuring the optimal functionality, safety, and long-term value of our real estate investments, we want to hear from you. You'll be key in managing our properties, building strong trade relationships, optimizing operational efficiency, and ensuring positive tenant experiences.

Key Responsibilities

  • Hands-on Asset Protection & Maintenance: Develop and manage preventative maintenance programs for all building systems (HVAC, electrical, plumbing, etc.) to minimize downtime and extend asset lifespan. This role requires a direct, hands-on approach; you'll be actively involved in assessing issues, performing minor repairs, and supporting urgent needs as a crucial part of our smaller company structure. Conduct regular inspections to ensure compliance and protect property integrity.
  • Vendor & Trades Management: Source, vet, and manage a network of reliable, high-quality contractors and trades for ongoing asset maintenance and repairs. Negotiate contracts and monitor performance to ensure quality and cost-effectiveness.
  • Operational Oversight: Manage all day-to-day property maintenance and repair activities, including scheduling, work order management (using Monday.com), and emergency responses. Oversee budgets for maintenance and repairs, ensuring efficient use of funds dedicated to asset upkeep. Maintain accurate records of all property assets and their maintenance history (leveraging Yardi for property data).
  • Building Systems & Compliance: Ensure all properties comply with relevant building codes, safety regulations, and environmental standards. Oversee proper functioning of all building systems and implement health and safety protocols to protect both people and physical assets.
  • Tenant Relations: Act as the primary point of contact for tenant maintenance requests and concerns (communicating primarily via Gmail), ensuring prompt and professional resolution. Proactively communicate with tenants regarding scheduled maintenance, service interruptions, and other property-related information to foster strong relationships and tenant satisfaction.

Qualifications

  • Education: Post-secondary education in Facilities Management, Property Management, Trades, or a related field. Certifications (e.g., FMP, CFM) are a plus.
  • Experience: Minimum of 3 years of progressive experience in facilities or property maintenance, ideally with a multi-property portfolio, and a proven track record in asset preservation and tenant interaction. Experience managing operational budgets and negotiating maintenance contracts is essential.
  • Skills: Strong technical understanding of building systems. Excellent organizational, communication (both written and verbal), and problem-solving skills. Proficiency with Monday.com, Yardi, and Gmail is essential. Knowledge of relevant building codes and safety regulations.
  • Other: Valid G-class driver's license required. A company van will be provided for local property travel.
