About Us:

Amal Youth & Family Centre delivers a wide range of programs for children, youth, families, and adults across Newfoundland and Labrador. Our central facility is a converted school—a large, multi-purpose building with a full gym, multiple classrooms/offices, and shared spaces for program teams and community partners to run meetings, training and events. We need a Facility & Operations Coordinator who understands how a safe, organized, and professional environment underpins our organizational mission and enhances participant and partner experiences.

Position Overview:
The Facility and Operations Coordinator plays a key role in supporting the day-to-day operations and long-term planning of our office spaces. You will ensure our facilities run smoothly, safely, and efficiently - contributing to an organized, productive work environment. This role requires strong problem-solving, communication, and organizational skills, along with a proactive, hands-on approach to facility maintenance and improvement.

Key Responsibilities:

Facility Maintenance & Operations

  • Coordinate and oversee all facility maintenance and repair activities
  • Create and maintain preventative maintenance schedules
  • Manage space planning and coordination, and ensure optimal workspace allocation
  • Use facilities management software to streamline tasks and service requests
  • Assist with building maintenance and cleaning, and supervise the maintenance staff
  • Act as main contact and logistics coordinator for groups renting spaces
  • Work with event organizers and IT for AV/setup, plan room configurations and signage, coordinate post-event cleanup, ensure capacity and safety compliance, communicate special requirements.
  • Promote an inclusive and welcoming environment in all facility spaces
  • Collaborate with Diversity, Equity, and Inclusion (DEI) initiatives to support an equitable workplace environment

Health, Safety & Compliance

  • Conduct regular safety inspections and maintain compliance with health and safety regulations
  • Develop and implement emergency preparedness plans
  • Monitor and enforce safety standards across all areas

Vendor & Project Management

  • Manage vendor relationships and service contracts (e.g., cleaning, security, repairs)
  • Oversee facility-related projects, including renovations and major repairs
  • Ensure projects are completed on time and within budget

Administrative Support

  • Provide day-to-day administrative support for facility operations, including other Amal facilities
  • Maintain documentation for facility procedures, inspections, and compliance
  • Propose and track annual facilities budget, monitor expenses, and recommend cost-effective solutions.
  • Provide regular updates to Amal leadership on facility status, projects, upcoming needs, and enhancement recommendations. Solicit feedback from program teams and partners and refine processes.
  • Utilize Microsoft Office Suite and project management software to manage tasks, reports, and communications

Qualifications:

Education & Experience

  • Bachelor’s degree in Facility Management, Business Administration, Engineering, or a related field (an equivalent combination of education and experience may be considered)
  • 2–5 years of experience in facility coordination or property management
  • Professional certification (e.g., Certified Facility Manager – CFM) is an asset
  • Hands-on experience managing a large, multi-tenant environment is required.

Work Environment & Physical Requirements

  • Office-based with frequent walking throughout the facility
  • Occasional lifting of items up to 30 pounds
  • Must be comfortable using office and maintenance equipment
  • Busy, multi-use building with frequent, daily program activities (including for young people), partner events, and rentals requiring adaptability.
  • Flexible schedule – occasional evening and weekend support required
  • High-visibility role with direct impact on program delivery and partner satisfaction.

·The position also requires a clear Certificate of Conduct and Vulnerable Sector Check from the RNC or RCMP.

Job Types: Full-time, Permanent

Pay: $54,000.00-$65,000.00 per year
