Job Purpose:

The Coordinator, Facilities and Pool Operations is responsible for the oversight and planning of facility services for all properties managed by the Department of Athletics & Recreation, including the Trent Athletics Centre, Justin Chiu Stadium, beach volleyball courts, canoe facility, outdoor storage buildings, and all associated equipment.

As Team Lead, they provide operational leadership to the Pool Operator & Maintenance Assistant positions, ensuring quality of work and making improvement recommendations while working alongside staff to carry out facility services and pool operations. This position will lead repair and maintenance of all Department of Athletics & Recreation buildings, outdoor facilities, and equipment, liaising closely with the Facilities Management Department.

The Coordinator is responsible for monitoring and continuously improving Athletics & Recreation facilities to meet customer and student needs while aligning with the Excalibur brand and Trent University’s vision, mission and values.

Key Activities:

Planning:

  • Work with the Assistant Director, Customer Engagement & Operations to develop and execute the five-year operational and asset renewal plan as well as the annual maintenance budget.
  • Control expenses, physical assets, supplies and equipment within the annual maintenance budget.
  • Develop short- and long-term preventive maintenance plans for Athletics facilities ensuring cost-effective operation and maintaining high-quality service.
  • Identify and recommend replacements or repairs for building systems, support infrastructure and long-term capital improvements.
  • Provide input on planning, renovating, and commissioning major capital projects.
  • Collaborate with department staff and Facilities Management to coordinate cleaning and maintenance activities to have minimal disruption to activities and programs.
  • Support staff with managing physical and sports related assets, by conducting research, securing quotes, and coordinating procurement, delivery and installation.
  • Work with program staff to develop operational plans supporting the seasonal program cycles ensuring facilities and equipment are available and functional when needed (i.e. beginning/end of varsity season, Excalibur summer camp, etc.).
  • Develop standard operating procedures and best practices for facility maintenance and pool operations, including daily, weekly, annual workflow and checklists.

Facility Services, Maintenance & Pool Operation:

  • Manages the safe operation of the 25m Pool, the Therapy Pool and Rowing Tanks, ensuring compliance with public health regulations. Oversees related mechanical rooms, maintains pool chemistry, performs water tests, and performs other duties related to pool operation.
  • Provide team lead oversight, training and direction to the Pool Operator & Maintenance Assistant.
  • Assess Athletics facilities daily to ensure safety and a high service level for students and the community.
  • Identify facility maintenance needs, carrying out necessary work or assigning to the Pool Operator & Maintenance Assistant and/or student employees as appropriate.
  • Coordinate with Facilities Management to secure outside contractors for specialized services/trades as required.
  • Coordinate and manage event set-ups/tear downs for Athletics, varsity events, and facility rentals. Liaise with Facilities Management related to other events utilizing Athletics Centre facilities (i.e. convocation, exams, etc.). Contact Facilities Management for any additional resources needed, including additional cleaning to meet special event needs.
  • Liaise with Facilities Management to:
  • review short, medium, and long-term plans
  • create, maintain, and prioritize the list of deferred maintenance work and/or any special projects related to Athletics facilities.
  • submit and monitor work orders assigned to Facilities Maintenance, identify recurring maintenance issues, and develop mitigation strategies.
  • articulate the impact of Facilities Maintenance work on Athletics Centre operations, including discussing scheduling and scope of work to minimize impact.
  • Maintain Justin Chiu Stadium and the artificial turf field, including inspections and seasonal turf maintenance.
  • Maintain storage rooms in compliance with Health & Safety protocols/procedures, ensuring cleanliness, organization and that equipment is labeled appropriately. Provide direction to Athletics staff related to storage room maintenance and organization.
  • Post current MSDS sheets and follow Health & Safety protocols/procedures for the storage and use of chemical/solvent.
  • Receive and review facilities feedback from students/customers and make recommendations for improvement.
  • Provide friendly and professional customer service to all visitors.
  • Perform minor repairs and general maintenance on sport and fitness equipment outside the scope of the contracted preventive maintenance plan (i.e. replacing cables, tightening equipment, repairs to padded equipment, carpets, mirrors, etc.).
  • In conjunction with Facilities Management, liaise with tenant owners (e.g. Trent Health in Motion (THIM)) on maintenance needs.

Health & Safety:

  • Under the Assistant Director’s direction, develop and implement facility service protocols and health and safety work procedures. Train Pool Operator & Maintenance Assistant and student staff and share relevant health and safety information.
  • Plan and schedule health and safety inspections for facilities and equipment.
  • Maintain emergency response practices for after-hours issues.
  • Contribute to annual health and safety policy updates and ensure facilities meet requirements.
  • Ensure emergency and life safety systems are working and escalate issues to Facilities Management as required.
  • Advise the Assistant Director on health and safety matters and report emergent issues.
  • Provide emergency call-in response for unplanned incidents.

Other

  • Collaborate with other Athletics & Recreation staff on projects, meetings and initiatives.
  • Research best practices and engage with professional associations/organizations and partners.
  • Update and maintain the standard operating procedures library. Recommend changes to the Assistant Director as needed.
  • Hire, train, schedule and supervise student employees (facility and varsity/special events).
  • Lead special projects and initiatives assigned by the Assistant Director.
  • Evening and weekend work as required.
  • Other duties as assigned.

Education Required:

  • College diploma (2-year) preferably related to building supervision, maintenance, or trade discipline related to mechanical systems, electrical systems, or a related discipline, or an equivalent combination of education and experience.

Certifications Required:

  • Successful completion of the Certified Pool Operator (CPO) course.
  • Working at Heights Certification.
  • Working in Confined Spaces Certification.
  • Current Standard First Aid and CPR.
  • Must have and maintain a valid Ontario Drivers Licence.

Experience/Qualifications Required:

  • Five (5) years of relevant experience required including a combination of:
  • facilities management experience including experience maintaining mechanical systems, sports fields, gym floors and various types of equipment and
  • public pool operations experience including strong knowledge of public pool legislation for Class “A” pools.
  • Knowledge of the Occupational Health & Safety Act and an understanding of health & safety issues relevant to the operation of equipment/use of chemicals.
  • Experience developing annual maintenance plans and managing annual facility services/maintenance budgets preferred.
  • Knowledge in sourcing and ordering a wide range of athletics/sports equipment preferred.
  • Experience providing leadership, supervision, direction and training to others an asset.
  • Able to work independently with demonstrated organizational and problem-solving skills.
  • Effective interpersonal skills for working with the public, co-workers, contractors and suppliers.
  • Experience working in a high-performance sports/varsity environment an asset.
  • Proficient in Microsoft Office Suite (Word, Excel).
  • Capable of routine lifting/handling materials and working at heights.
  • Ability to regularly work evenings and weekends; and be part of a regular on-call rotation to respond to emergencies outside of regular working hours.
  • A satisfactory Vulnerable Sector Check (“Police Record Check”), dated within the past six (6) months is required as a condition of employment.

Supervision:

  • Team Lead to the Pool Operator & Maintenance Assistant.
  • Directly supervise, train, guide and direct student employees including assigning and monitoring work for accuracy and completion and providing input into staffing decisions and performance evaluations.
