Building Operator and Capital Project Coordinator

Role: The Building Operator and Capital Project Coordinator is a role with dual responsibilities. The Centre completes many infrastructure capital projects annually to sustain the facility. Over the course of any given year, the incumbent can expect to spend upwards of 40% of their time leading and delivering all phases and facets of multiple infrastructure capital projects including initiation, planning, execution, monitoring & controlling, and close out activities. The balance of the incumbent’s time will be spent as a Building Operator and be responsible with other building operators for ensuring the proper maintenance of the building and the smooth operation of the facility.

What You’ll Do:
The following duties are typical of this role. Incumbents may be required to perform additional or different duties from those set forth below to address business needs and changing business practices.
Capital Project Coordination
- Assist in developing RFP’s, RFQ’s, review and evaluate quotes and proposals, make recommendations to senior management for contract awarding.
- Coordinate infrastructure capital projects by ensuring all aspects of planning, preparation, execution, control, monitoring, and closure for assigned capital projects are fully implemented.
- Collaborate with internal cross-functional teams and contractors as required for each assigned project.
- As required, coordinate permit applications, and collaborate with regulatory agencies to ensure responses to comments and timely receipt of all permits.
- Provide technical expertise to support project deliverables.
- Ensure that infrastructure projects are completed safely, on schedule, on budget, and to the specified performance criteria & specifications set out in the contract, project plan and/ or scoping and design documents.
- Anticipate, identify, and mitigate project risks to scopes, schedules, budgets, quality, safety, and the environment.
- Track project milestones and schedules.
- Ensure that work is completed in compliance with applicable building codes and other relevant legislation and regulations.
- Review project invoices to ensure in alignment with approved purchase orders, contracts, statements of work, or agreements while effectively managing budget changes and related documents.
- Manage potentially sensitive and confidential information involving projects.
- Regularly monitor and document actual versus budgeted versus expected spend for each individual project for reporting purposes.
- Ensure all project documentation is properly initiated, authorized, and maintained, as well as filed appropriately for project record purposes.
- Assist in preparing annual infrastructure capital budgets leveraging the current building condition assessment.
Building Operations
- Along with fellow building operators, monitor and effectively maintain the day-to-day operations, complete preventative maintenance and unscheduled repairs of the Centre’s HVAC equipment (including boilers, chillers, air handlers, pumps, motors, fans, VFD’s, compressors, etc.), life safety systems, building automation system, lighting systems, electrical, and plumbing.
- Assist in scheduling, liaison, and supervision of contractors on site to complete repairs and maintenance for assigned work.
- Troubleshoot and take corrective action to prevent equipment or system failures.
- Ensure all assigned work requests are completed in a timely and satisfactory manner.
- Regularly test and maintain proper pool water chemistry within AHS guidelines.
- Learn and maintain a solid understanding of pool operations and water chemistry.
- Keep assigned mechanical areas tidy and clean.
- Proactively maintain a safe work environment following all safety requirements of the role.
- Engage with our guests with a friendly, welcoming, and helpful attitude.
- General maintenance (e.g., painting, basic plumbing, drywall repairs, tile repair) as required.
- Remove snow and de-ice sidewalks, as required.
- Assist with moving equipment, furniture, and other building assets as required.
What You Need:
- Minimum:
- Two years’ experience in project coordination and/or engineering and/or consulting and/or construction management environments
- Two years’ facility operations and maintenance experience
- Minimum 5th Class Power Engineer
- Proven experience in successfully delivering and coordinating capital projects
- Experience in coordinating numerous projects concurrently
- Good understanding of local building codes
- Good network with local HVAC and mechanical contractors
- Ability to troubleshoot, diagnose and repair various facility issues
- Able to develop and sustain positive cooperative working relationships with tenants, colleagues, contractors, suppliers, and the public
- Knowledgeable and good understanding of building management systems (BMS)
- Swimming Pool Operator Level 1 would be an asset, where not complete, the Centre will support completion thereof
- Strong ability to communicate effectively and professionally, as well as both written and oral proficiency in English
- Work safely in a team, and independently
- Ability to participate in on call schedule
- Self-starter that follows through on assigned tasks
- Ability to perform the physical requirements of the job including standing for an extended period, walking, lifting, grasping, and performing repetitive motions, sometimes in confined spaces or small areas
