Workplace Experience Lead

What You’ll Do
- Workplace Operations & Facilities
- Oversee daily office operations to ensure a functional, organized, and welcoming environment
- Maintain consistent workplace standards across cleanliness, supplies, room readiness, and equipment
- Coordinate with local vendors (cleaning, maintenance, security, supplies) and manage schedules and service quality
- Resolve escalated facilities or workplace issues independently and proactively
- Employee Experience & Hospitality
- Serve as the primary onsite point of contact for employee needs and workplace support
- Maintain high service standards and continuously improve frontline employee experience
- Support onboarding, visitors, and day-to-day office needs with a hospitality-first mindset while upholding our visitor management processes
- Office Move & Fit-Out Support (Immediate Priority)
- Act as the boots-on-the-ground partner for the Montreal office relocation and new space build-out
- Partner closely with the Office Manager in Poland on planning, timelines, and vendor coordination
- Attend site visits, walk-throughs, and meetings with building management and vendors
- Help coordinate quotes, schedules, access, and on-site logistics during the fit-out phase
- Ensure decisions made remotely are executed accurately and issues are surfaced early
- Support move-in readiness, including furniture setup, supplies, signage, and employee communications
- Onsite Culture, Community & Events
- Coordinate local culture initiatives, team moments, and office rituals aligned with company values
- Plan and execute onsite events, including logistics, vendors, and day-of support
- Partner with People and cross-functional teams to drive engagement and participation
- Health, Safety & Compliance
- Ensure daily adherence to safety, security, and access protocols
- Coordinate badges, emergency procedures, and local compliance requirements
- Act as the onsite owner during drills or incident response
- Vendor, Budget & Systems Management
- Manage local supply and event budgets responsibly, track expenses and invoices
- Monitor vendor performance and escalate improvement opportunities
- Maintain workplace systems, logs, and documentation accurately
- Collaboration & Communication
- Partner closely with People, IT, and Finance counterparts
- Communicate office updates, changes, and events clearly and professionally
- Balance global standards with local needs and constraints
What We’re Looking For
- Proven experience in workplace experience, office operations, facilities, or hospitality-focused roles
- Ability to step into an active environment and take ownership quickly
- Strong organizational skills with comfort juggling operational and project-based work
- Experience supporting office moves, renovations, or multi-vendor workplace projects is a strong plus
- Excellent judgment, problem-solving skills, and attention to detail
- Clear, professional communication skills (English required; French strongly preferred)
- Comfort working with vendors, budgets, and workplace systems
