Director, Catalog Operations & PIM

Location: Remote (Canada or US)

About TOOLBX:

TOOLBX is building the digital operating platform for lumber and building material dealers. Our platform helps independent building suppliers sell online, manage customer portals, accept payments, streamline order-to-cash workflows, and better serve their contractor customers.

As TOOLBX scales across eCommerce, payments, customer portals, and AI-enabled workflows, high-quality product and catalog data is becoming a core part of our platform. We are looking for a hands-on catalog and PIM leader to help build the operating system that allows our customers to launch, maintain, and improve their digital catalogs at scale.

The Opportunity:

We are hiring a Director, Catalog Operations & PIM to own TOOLBX’s catalog operations, product data, and PIM strategy.

This is not a traditional retail merchandising role. This is a hands-on “doer” operating role for someone who can build scalable catalog processes, improve product data quality, manage a small team, and use AI and automation to reduce manual work.

The ideal candidate is a builder/operator who is comfortable working with messy product data, creating processes from ambiguity, implementing PIM best practices, and partnering with Product and Engineering to improve internal tooling and automation.

This person must be highly capable with AI tools and have demonstrated use of AI to improve catalog enrichment, categorization, data cleanup, workflow automation, QA, and team productivity.

The role will also support approximately 4–5 hours per week of customer-facing catalog discussions, typically alongside Onboarding or Customer Success. These conversations may include walking dealers through their catalog, identifying data gaps, explaining product data requirements, and sharing best practices and helping customers understand what is required for a successful digital launch.

Key Responsibilities:

Catalog Operations & Process

  • Own the end-to-end catalog operations process for new and existing TOOLBX customers.
  • Build scalable workflows for product data intake, cleanup, enrichment, mapping, categorization, QA, and maintenance.
  • Develop SOPs, QA checklists, SLAs, templates, and playbooks for the catalog operations team.
  • Identify bottlenecks in the current catalog onboarding process and implement improvements.
  • Ensure catalog work is repeatable, measurable, and not dependent on tribal knowledge or manual heroics.

PIM Strategy & Product Data

  • Own TOOLBX’s PIM operating strategy, including how product data is structured, governed, enriched, and maintained.
  • Define standards for product taxonomy, categories, brands, attributes, images, descriptions, units of measure, and product relationships.
  • Partner with Product and Engineering to improve PIM tooling, internal workflows, data models, and automation.
  • Help determine what should be handled manually, through tooling, through vendor/manufacturer feeds, and through AI.
  • Turn catalog data into a strategic asset for TOOLBX and its customers.

AI, Automation & Data Quality

  • Use AI tools to improve catalog operations and reduce manual work.
  • Build or implement AI-assisted workflows for product enrichment, categorization, tagging, normalization, duplicate detection, and QA.
  • Identify where AI can improve team productivity, customer onboarding speed, and catalog quality.
  • Create data quality standards and reporting across customers, vendors, and product categories.
  • Track catalog readiness, data quality, throughput, onboarding blockers, and process performance.
  • Continuously improve the operating model using AI, automation, workflow tools, and better processes.

Customer & Dealer Catalog Support

  • Lead or support dealer-facing catalog walkthroughs during onboarding.
  • Explain catalog structure, data gaps, product data requirements, and launch readiness in a clear, customer-friendly way.
  • Partner with Onboarding to set expectations around timelines, customer inputs, and data quality.
  • Identify repeatable patterns from customer calls and turn them into better templates, processes, tooling, and automation.
  • Support strategic customer conversations where catalog quality or PIM complexity is important.

Vendor, Manufacturer & Data Source Management

  • Develop repeatable processes for sourcing product data from vendors, brands, manufacturers, customers, and ERP exports.
  • Create standards for ingesting, cleaning, normalizing, and maintaining third-party product data.
  • Build vendor/manufacturer relationships where needed to improve data quality and availability.
  • Improve TOOLBX’s ability to scale catalog data across multiple dealers and product categories.

Team Leadership

  • Manage and develop a small catalog/merchandising operations team.
  • Set clear priorities, quality standards, productivity expectations, and ownership areas.
  • Coach the team on process discipline, data quality, AI usage, automation, and customer communication.
  • Create a culture of accountability, continuous improvement, and hands-on problem solving.
  • Help the team scale output without adding headcount linearly.

Qualifications:

  • 5+ years of experience in catalog operations, PIM, product data management, eCommerce operations, marketplace operations, merchandising operations, data operations, or a related field.
  • Experience working with large, messy, multi-source product datasets.
  • Strong understanding of product taxonomy, categorization, attributes, enrichment, images, descriptions, units of measure, and data quality.
  • Proven ability to build operational processes, workflows, SOPs, QA systems, and team playbooks.
  • Hands-on experience with PIM systems, spreadsheets, databases, automation tools, workflow tools, or product data platforms.
  • Advanced comfort using AI tools to improve productivity, automate workflows, clean data, enrich content, and improve operational quality.
  • Strong project management and process design skills.
  • Ability to manage a small team while remaining hands-on.
  • Strong customer communication skills, especially around complex data, implementation, or catalog topics.
  • Background in construction supplies or a related industry domain knowledge is a plus.
