Volanté is currently seeking a dynamic individual for the role of Project Coordinator to provide reliable, timely, and professional support to the Project Team. The Project Coordinator will assist with the day-to-day project coordination activities. The position entails working with a diverse group of internal and external Stakeholders at all levels of the organization, and the successful candidate will require independent judgment to plan, prioritize, and organize a diverse workload.
WHAT YOU’LL BE DOING:
• Collaborate with Project Managers to prepare comprehensive action plans, outlining resources and timeframes, demonstrating Organizing and Priority Setting skills.
• Perform coordination duties including scheduling, risk management, and administrative tasks such as maintaining accurate and up-to-date project documentation.
• Utilize excellent time management and influential communication skills to collaborate with clients and internal teams, ensuring delivery of time-sensitive results with an Action Oriented mindset.
• Coordinate project management activities, resources, equipment, and information efficiently to support seamless project progress.
• Liaise proactively with clients and onsite staff to establish clear project requirements, scope, and objectives, applying strong Problem Solving and Written Communications abilities.
• Act as a central point of contact, providing timely and transparent communication of project status to all participants, showing Written Communications and Perseverance.
• Support Project Managers in removing obstacles and barriers that may impact project timelines and deliverables.
• Use project management tools to monitor working hours, plans, and expenditures, identifying and escalating issues as needed.
• Create and maintain comprehensive project documentation, plans, and reports to ensure clarity and accountability.
• Conduct quality assurance tests to verify that project standards and requirements are consistently met.
• Review quotes and manage the purchase order process, ensuring POs are issued before installation work by the client.
• Track and follow up on deficiencies, coordinating with clients and internal teams to ensure timely correction and acceptance by Operations.
• Participate in daily and weekly conference calls with clients to monitor schedules and update Project Managers and specialists on project progress.
• Update internal office systems regularly with current project status and related information.
Provide additional administrative support and assist fellow team members as needed, demonstrating flexibility and a strong work ethic.
WHAT WE’RE LOOKING FOR:
• Degree or Diploma in Project Management, Business Administration, or a related field is preferred.
• Proficient with Microsoft Office applications and Google Suite.
• Excellent verbal and written communication skills.
• Detail-oriented with a strong commitment to quality.
• Self-motivated, highly driven, and demonstrates an exceptional work ethic.
• Strong organization and time management capabilities.
• Flexible working hours to meet and exceed project requirements.
