SWTCH Energy Inc is seeking a highly organized and proactive individual to join our team as an Executive Assistant & Office Manager. Reporting directly to the CEO, the successful candidate will play a pivotal role in supporting senior executives and ensuring the smooth operation of our office. - Manage and coordinate executives' calendars, meetings, and travel arrangements.
- Prepare and organize documents, presentations, and reports for executive meetings.
- Act as a liaison between executives and internal/external stakeholders.
- Oversee day-to-day office operations to ensure a productive and efficient work environment.
- Coordinate office supplies, equipment maintenance, and vendor relationships.
- Implement and maintain office policies and procedures.
Communication and Coordination
- Serve as the point of contact for internal and external communications.
- Collaborate with various departments to facilitate cross-functional communication.
- Manage incoming emails, phone calls, and inquiries with professionalism and discretion.
- Plan and coordinate company events, meetings, and team-building activities.
- Assist in organizing industry conferences and exhibitions.
- Provide administrative assistance such as drafting correspondence, managing files, and handling confidential information.
- Perform general office duties, including data entry, record-keeping, and maintaining a tidy workspace.
- Proven experience as an executive assistant or office manager.
- Excellent organizational and multitasking abilities.
- Strong written and verbal communication skills.
- Proficient in Microsoft Office Suite and other relevant software.
- Ability to handle sensitive information with confidentiality.
- Bachelor's degree in Business Administration or a related field is preferred.
