We’re looking for an Operations Specialist who can help empower our people to do their best work by employing excellent communication and collaboration practices and systems. Someone who believes that operational excellence begins with understanding the needs of our people and workflows, and who can drive alignment through optimized, smooth operational practices that unify our workforce behind our collective goals. Your Purpose:

As Operations Specialist at Stocksy, you will own and evolve how our company delivers cohesive, concise, and meaningful communications company wide. You’ll build proactive channels and practices to help align our entire membership with our collective goals, and be a key spokesperson for the organization. Furthermore, through excellent agile and lean management, you’ll bolster the cooperative’s stability and scalability, and ensure our teams have the tools, processes, and systems to do meaningful work. Ultimately, this role will be a champion for clarity, collaboration, and unity - critical ingredients required to continue scaling the business.

  • Location: Remote, preference to those who reside in or are able to work within North American timezones
  • Hours: This is a full time position with the standard hours of 40 hours per week. Typical office hours are 9:00 a.m. to 5:00 p.m., Monday to Friday. Overtime may be required as part of annual compensation.

What You’ll Do:

Member engagement (40%)

  • Ensure a transparent, well-articulated, and accessible flow of information within the cooperative from strategic activities to day-to-day updates, driving member communication plans and collaborating with stakeholders to manage, evaluate, and execute member communications across our membership.
  • Drive all membership communications, events, and initiatives, including company all-hands, member newsletters, membership townhalls, and the yearly production of the co-op’s Annual Report and Annual General Meeting.
  • Oversee our member forums, monitor activity, identify threads that require staff participation; draft data-driven, clear, and concise responses; coordinate with key stakeholders to finalize communications and be the spokesperson for the company on most forum topics.
  • Evaluate key data and trends, and produce internal reports and publications in service of advancing the co-op’s objectives.
  • Oversee our Knowledge Hub and related information warehousing, managing end-to-end documentation and accessibility for all internal policy and communications.
  • Oversee Stocksy’s resolution process, coordinating all proposals, votes, and other governance activities.
  • Develop systems that keep our workforce engaged remotely, overseeing new and existing communications channels, initiatives, and events.
  • Support recognition activities across the workforce, including birthdays, anniversaries, celebrations, and milestones.
  • Support people, engagement, training, and change management activities as needed.

Project management (25%)

  • Participate in the project management group, promoting lean and agile principles and expanding our program management capacity across the organization.
  • Lead and manage strategic project initiatives, driving effective processes, tools, vendor coordination, internal alignment with clear communications and results.
  • Assist the cooperative to remove barriers in delivery by removing blockers, streamlining workflows, and proactively solving problems to keep strategic initiatives on track.

Business administration (25%)

  • Maintain & manage compliance with the Cooperative Association Act, and update all governance-related policy as needed.
  • Manage all co-op reporting requirements.
  • Manage Stocksy’s relationship with other co-operative organizations, including provincial co-op associations, co-op federations, international member-driven organizations, and the greater co-op community.
  • Respond and engage with requests from outside parties for research and PR requests within the co-op community.
  • Oversee budgeting, maintenance, and reporting of Operations budget.
  • Be the point of contact for our Victoria, BC office, managing all relevant vendors, stakeholders, and documentation.

Tools, systems, and processes (10%)

  • Oversee development and improvement of operational processes, systems and procedures in support of co-op goals.
  • Oversee vendor management - the evaluation, onboarding/offboarding, implementation, and training of new tools, processes, and systems - in collaboration with Dev Ops.
  • Track and review operations-based KPIs to support continual improvement of processes, documentation, systems, and workflows.

Who You Are:

You’re an expert at connecting people, tools, and systems together through impeccable communication and coordination. You are:

  • An impeccably organized professional, able to develop and execute workback plans for every size of project in a deadline-driven environment.
  • A thoughtful and direct communicator who excels in cross-functional, remote environments.
  • An efficiency champion, able to recognize lacklustre systems and processes, and the first to recommend optimizations.
  • An experienced project manager, able to exercise lean and agile delivery for individual initiatives or key programs.
  • A master adaptor who brings calm, resilience, and responsiveness to any expected or unexpected changes.

Experience & Capabilities:

  • 3+ years of progressive experience in operations, communications, or similar (ideally from a remote tech environment).
  • Experience developing, implementing, executing, and assessing communications plans in a remote business environment; translating business results and trends into clear, concise, and compelling reports and communications
  • Proven track record of effective and efficient program management in a small or medium-sized business.
  • Experience with project management software (Asana an asset), GSuite, Slack, and other collaboration tools.
  • Experience managing large volumes of business data, producing recommendations and reports to advance organizational objectives.
  • Experience leading and working with international and remote teams in a cross-functional and agile environment.
  • Experience delivering strategic communications for diverse audiences, including cultural and language considerations for international settings.
  • Experience managing relationships with external stakeholders and PR opportunities.
  • Certified Scrum Master (preferred).
  • Project Management Practitioner (preferred).

Key Success Metrics:

  • Improve communication and transparency metrics across the workforce (measured via eNPS and performance assessments).
  • Improve communications and transparency across our membership (measured via publication open rates and other feedback loops to be determined).
  • Improve speed to delivery for project management cycles (measured via cycle time).
  • Ensure efficiency and compliance with vendor management (measured via new SaaS requests and internal audit).
