Role Overview:
We seek a highly creative and collaborative Production Coordinator to assist in the management of projects ranging from live-action, animation, and mixed-format video to graphic design, social marketing campaigns, and media-driven digital learning content. This role reports to the Production Manager and plays a key support role for the Sr Producer.
Key Responsibilities:
Project Management Support (40%)
- Ensure timely client deliveries and adherence to timelines through the use of company project management tools and proactive communication with team members.
- Assist the Production Manager with project resourcing and scheduling.
- Monitor the review and approval of internal deliverables.
- Contribute to efficient quality assurance reviews of project deliverables (video outputs, caption files, voice over recordings), leveraging technology.
- Facilitate effective collaboration between project teams.
Information & File Management (20%)
- Log and organize all project materials for easy access by relevant team members.
- Develop and maintain project trackers and documentation.
- Package and format project deliverables.
- Organize client and internal feedback.
External Communication Support (15%)
- Communicate directly with talent/agents, vendors, and select clients.
- Draft strategic client communications in collaboration with Project Leads.
Live Action Production Coordination (15%)
- Support the planning and execution of live-action video shoots, including:
- Location research
- Creating casting calls
- Conducting outreach to participants
- Drafting shoot schedules
- Renting equipment
- Creating call sheets
- Collecting release forms
- Providing on-set production assistance
Additional Administrative Support (10%)
- Schedule internal and external meetings, manage team calendars.
- Prepare meeting agendas, take meeting minutes, and log action items.
- Conduct research into potential tools or resources.
Your Experience:
- Minimum 2 years of coordination experience in an agency environment within the media, communications, or marketing industry.
- Experience using project management tools (Monday.com, Teamwork.com, Jira etc)
- Knowledge of media production workflows and processes.
- Strong proficiency with Microsoft Suite (Excel, Word, PowerPoint) or Google Suite (Docs, Sheets, Slides).
- Demonstrated experience and comfort using generative AI tools for writing and project management.
- Experience communicating directly with clients via email, phone and video conferencing.
- Experience in file management, note-taking, and administrative tasks.
- A university degree, college diploma, industry certification, or relevant training in film studies, media production, communications, or marketing is preferred.

Bonus If You Have:
- Experience as an Executive Assistant or similar role.
- Experience as a Production Assistant or other roles in the film/video production industry.
- A full G Class license or equivalent.
- Fluency in French
- Interest or experience in digital learning and media for education.
- Formal education or training in education and learning.
- Experience with Adobe Creative Suite products.
- An understanding of graphic & web design or web development workflows.

Location:
The offices of Sandbox Inc. are located in downtown Toronto, just south of Trinity Bellwoods park. Currently, our team operates on a hybrid model, working two days in-office, three days from home.
Job Type: Full-time
Pay: $50,000.00-$55,000.00 per year
