Job Overview:
Reporting to the Executive Support & Sales Team Coordinator, the Sales Coordinator provides administrative and operational support to the Sales organization. This role supports the Global Sales team and assists with day‑to‑day coordination, reporting, scheduling, and communication tasks. The Sales Coordinator also helps maintain accurate tracking of team expenses, supports basic budget-related administration, and prepares expense reports for review and approval. This position contributes to the smooth and efficient operation of the Sales function through strong organizational skills, attention to detail, and reliable support to senior team members.

What the job is all about:
Sales Team Support:
- Assist with calendar coordination and meeting scheduling for senior leaders within the Sales organization
- Support preparation of meeting materials, including agendas and basic PowerPoint presentations
- Assist with travel arrangements, including booking flights, hotels, and preparing itineraries
- Help track action items for ongoing team projects and provide general administrative support
- Support communication flow by routing inquiries to the appropriate Sales team contacts
- Process expense reports and assist with invoice submissions in Infor XM
- Assist with maintaining organization of shared documents, folders, and resources
- Serve as a point of contact for internal staff requiring basic Sales-related information
- Provide administrative support for simple legal documentation tracking and filing (under guidance)
- Support onboarding tasks for new Sales staff, including system access coordination and scheduling
Sales Reporting & Corporate Support:
- Assist in preparing weekly and monthly Sales reports by gathering data and updating templates
- Support the Sales team in pulling information for Quarterly Business Reviews (QBRs) and simple pipeline summaries
- Help update and maintain Sales resources, team distribution lists, and shared reporting files
- Assist with coordinating team meetings, including scheduling, preparing agendas, and communicating logistics
- Support the organization and distribution of Sales Awards, badges, and certificates
- Help manage team travel logistics and assist with expense reporting for Sales leaders as needed
- Provide basic research support for competitor or customer-related inquiries, under direction
- Support the adoption of internal tools such as DocuSign and MS Teams by assisting with simple tasks and troubleshooting
- Provide travel data for Green Sustainable committee.
- Royalty lead, providing data for Product Royalties, tracking Products and Royalties provided.
- Help coordinate logistical support for new staff relocations and onboarding steps
- Support administration of corporate accounts (e.g., mobility or travel accounts) as assigned
Who you are:
- Highschool diploma and 1–3 years of administrative, coordination, or support experience (Sales or office environment preferred)
- Understanding of general office procedures and administrative practices
- Experience supporting teams or working in a corporate environment is an asset
- Basic knowledge of expense reporting; experience with tools like Infor XM is an advantage
- Ability to handle confidential information with professionalism
- Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams)
- Demonstrated ability to communicate professionally, including writing clear, concise emails and interacting effectively with employees at all levels of the organization
- Strong organizational skills with the ability to manage multiple tasks and deadlines
- Ability to work independently when needed and maintain accuracy in a fast-paced environment
- Comfortable troubleshooting minor issues and escalating when required
