Job overview:

We are seeking a well-organized and detail-oriented Marketing Coordinator – Operations to join our Marketing team. This role plays a critical part in ensuring the smooth execution of day-to-day marketing operations through effective administrative and logistical support. As an Operations Coordinator, you will manage essential back-office functions such as budget tracking, expense processing, agenda coordination, and logistics planning. This is role is focused on enabling the team’s success through excellent operational support.

What the job is all about:

  • Work closely with the Finance team to track and maintain marketing team budgets and purchase orders.
  • Process invoices and team expenses in coordination with the Finance and Procurement teams.
  • Reconcile monthly marketing spend against the budget and flag discrepancies.
  • Assist in Project Coordination for internal projects, including coordinating agendas, and tracking timelines.
  • Support logistics for events, offsites, vendor meetings, and campaign launches.
  • Manage and provide internal systems support.
  • Maintain centralized calendars and ensure alignment on key deliverables and timelines.
  • Serve as the go-to person for general team coordination and office tools support.
  • Identify and implement ways to streamline team operations and communications.
  • Maintain documentation of team processes and best practices.

Who you are:

  • 2+ years of experience in an Operations, Administrative, or Coordinator role; marketing team experience is a plus.
  • Strong organizational and project management skills.
  • Proficient with tools such as Excel/Google Sheets, Paramount or InforLN (or other expense and ERP systems), and project management platforms (e.g., Asana, Trello, Monday.com).
  • Excellent written and verbal communication skills.
  • Ability to multitask and prioritize in a fast-paced environment.
  • Detail-oriented and proactive with a problem-solving mindset.
  • Comfortable working cross-functionally with teams such as Finance and IT.

Bonus points if you have the following:

  • Familiarity with marketing operations or working in a product-based company.
  • Experience coordinating events or supporting logistics for marketing campaign rollouts.

Other requirements:

  • Occasional domestic and international travel (up to 10%) may be required as assistance at tradeshows and other events is needed, therefore a valid passport is required.
