As part of the Corporate Information Technology team in Iroquois or Ottawa, the IT Administrator - Assets will play a global role in supporting our employee base, with a primary focus on managing enterprise-wide IT software licenses. This position will be the key driver of the software licensing compliance program, ensuring adherence to policies and best practices. As a core team member, you will directly contribute to Ross Video’s success.

What the job is all about:

  • Ensure enterprise-wide compliance with all software license agreements by monitoring usage, enforcing policies, and maintaining adherence to guidelines.
  • Conduct internal software audits to identify discrepancies between deployed and licensed software; rectify variances and ensure alignment with purchased licensing models.
  • Manage vendor compliance audits and coordinate responses as required.
  • Oversee the procurement and renewal of software licenses, ensuring appropriate quantities and licensing models are purchased.
  • Track, renew, and maintain records of all software maintenance and support contracts.
  • Ensure retention and accessibility of all proof-of-license documentation.
  • Participate in negotiating new software vendor agreements and modifying existing agreements.
  • Analyze and recommend cost-saving strategies for software licensing.
  • Provide real-time reporting on license status for employees or groups as needed.
  • Research, evaluate, and implement best practices, policies, tools, and technologies for software license management.
  • Prepare annual reports on software subscriptions, maintenance, and renewals for budgeting purposes.
  • Perform other related duties as required.

Who you are:

  • Degree or diploma in Information Technology, Computer Science, Business Administration, or a related field (or equivalent work experience).
  • 1-3 years relevant work experience
  • IT Asset Management (ITAM) or Software Asset Management (SAM) certifications are a plus (e.g., CSAM - Certified Software Asset Manager, ITIL, IAITAM).
  • Strong understanding of software licensing models, including subscription-based, perpetual and volume licensing agreements.
  • Knowledge of software asset management (SAM) best practices and regulatory compliance frameworks.
  • Experience with IT Asset Management (ITAM) tools such as Quest Kace, ServiceNow, or equivalent for tracking software assets.
  • Familiarity with vendor licensing agreements from major software providers (e.g., Microsoft, Adobe, Oracle, Autodesk)
  • Understanding procurement processes, contract negotiation, and cost optimization strategies for software licenses.
  • Ability to interpret and apply software compliance policies and legal requirements.
  • Experience working with Enterprise IT environments, including Windows, macOS, and Linux.
  • Proficiency in Microsoft Excel, Power BI, or other reporting tools for data analysis and reporting.
  • Strong analytical and problem-solving skills for software license compliance and optimization.
  • Effective communication and stakeholder management skills for engaging with IT teams, vendors, and procurement.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Training in risk management and auditing principles is beneficial.
