We are seeking a highly organized and detail-oriented Talent & People Operations Specialist to support our growing team in Canada. This remote role will focus on administrative tasks within recruitment, such as managing contracts, conducting background checks, and ensuring compliance with Canadian employment laws. Additionally, you’ll assist with various HR functions to help streamline operations and maintain smooth processes. What You’ll Do
Recruitment Administration:
- Manage and facilitate the contract generation process for new hires.
- Handle background checks and ensure all compliance requirements are met.
- Collaborate with the Talent team to manage job postings and requisition processes, ensuring job descriptions comply with Canadian employment laws.
- Serve as a key point of contact for candidates, providing timely updates and maintaining clear communication throughout the hiring process.
- Assist with scheduling and coordinating interviews, including handling rescheduling requests.
- Conduct reference checks and provide feedback to hiring managers.
- Support ad hoc projects related to recruitment optimization and process improvement.
- Assist with coordinating a seamless transition between the Talent Team and People Team for new hire or independent contractor conversion onboarding
HR Operations Support:
- Assist with maintaining employee records and documentation, ensuring compliance with HR policies and procedures.
- Provide administrative support for HR-related tasks, such as managing employee files, responding to HR inquiries, and collaborating on various projects.
- Help administer payroll-related processes, including employee bonuses and referral programs.
- Act as a resource for ensuring compliance with local and federal employment laws in Canada.
Other Duties:
- Collaborate with our Payroll teams to manage referral program and employee bonus administration
- Provide general administrative support to the P&C team, including maintaining employee records, responding to HR-related inquiries, and assisting with P&C projects as needed
What You’ll Bring
- 1-3 years of experience in talent acquisition in a full life-cycle recruitment environment
- Strong understanding of Canadian employment laws and HR best practices
- Comfortability working in fast-paced startup environment and are able to deal with ambiguity
- Experience with direct collaboration inside a People and Culture team
- Demonstrated ability to work independently, manage multiple projects, prioritize, and manage a high-volume of tasks, deadlines, and requirements
- Ability to efficiently switch between tasks and triage according to priorities
- Exceptional organizational and time management skills
- Exceptional interpersonal, communication (written & verbal) and client service skills; ability to work effectively with multiple departments and forge strong relationships with stakeholders of every level
- Results-oriented, multi-tasker who is process driven, with high expectations of self and time management
- Knowledge and proficiency of modern tech tools including: Google Suite, Trello, Jira, DocuSign, experience with HRIS software and scheduling software (like Calendly), proficiency within Greenhouse ATS software is preferred
- Knowledge of general human resources processes, best practices, HRIS systems
- A passion for creating a positive and engaging workplace culture
- A proactive approach to recruitment coordination, with the ability to anticipate and address operational needs
- Ability to handle confidential information with discretion and professionalism
- Nice to have: experience in healthcare or startup environment

- The base salary for this role ranges from $85,000 - $100,000 in local currency, depending upon experience
