About ‘The Hercules Project’

The Hercules Project is a large study observing up to 100,000 adults aged 18 or older in the U.S. using whole body MRI (WB-MRI) scans over the next 10 years. Participants will be recruited from multiple clinical sites, they'll undergo MRI scans using specialized equipment. Radiologists will assess the images and share results with healthcare providers. Follow-up calls will be made after the initial scan to gather diagnostic outcomes. Optional follow-up scans may occur at 24 and 36 months. Data will be analyzed for sensitivity, specificity, and predictive value. For those with prior diagnoses, comparisons will be made between MRI findings and known conditions. The study aims to evaluate MRI's predictive power for future health issues, considering various factors.

The Opportunity

Join our team as a Clinical Trial Site Representative! Our ideal candidate will have prior experience in retail sales, with a preference for those who have worked in direct-to-consumer medical service sales. They should be eager to contribute to an innovative clinical trial project aimed at advancing the science and practice of preventive medicine. This project involves offering and studying Proactive Screening Whole-Body MRI Examinations (“Prenuvo Scans”) in the setting of a Prenuvo-sponsored clinical trial operated out of the Hercules Research Center site at 118 Arsenal Yards Blvd, Watertown, MA 02472). Help us advance personalized medicine and drive towards a proactive, more cost-effective healthcare system with better health outcomes.

A standard 40-hour work week can be expected. Team members will rotate on-site shifts to cover open clinic hours that currently include Monday- Friday 8am - 6pm. As the site becomes busier over time and the team grows, site open hours may expand and potential shift options may adjust accordingly.

What You'll Do

As a Clinical Trial Patient Coordinator, you will conduct consultative pre-recruitment calls with potential patient participants interested in undergoing the Prenuvo scan and participating in the trial. You will prescreen their trial-eligibility based on predefined inclusion and exclusion criteria, and follow-up to schedule formal on-site trial recruitment, enrollment and scanning appointments with the Trial’s Research and Clinical Teams. The role includes continuing to ensure a smooth and positive experience for participants after booking their appointments including through on-site check-in and then post-scan follow-up - ensuring they feel well-taken care of throughout their journey. You will prioritize their well-being throughout the process, this is our top priority!

Please review the responsibilities below:

Consultative Prerecruitment /Prescreening calls

  • Handle incoming inquiries (phone, chat, email) about the clinical trial and Prenuvo scans
  • Provide information and answer questions to prospective participating patients about the trial and the medical services being offered and studied through it, as well as clarify appropriate candidacy to participate in the trial
  • Schedule appointments for eligible candidates who elect to proceed to a formal trial recruitment, enrollment and scanning encounter on-site


Administrative Tasks

  • Handling patient appointment reminder calls
  • Respond to patient emails and requests
  • Maintain clinic cleanliness, organization, and supplies

Patient Support

  • Assist with pre-scan questions and completing medical intake forms
  • Address post-scan processes, questions and concerns
  • Troubleshoot issues and send out scan reports

Pre-scan Patient Outreach

  • Appointment Reminders
  • Safety and Health/Medical intake form completion status reviews and reminders prior to arrival

Patient Arrivals & Intake

  • Verify patient identity and perform standard intake processes
  • Assist with medical intake form completion
  • Ensure patients are comfortable and well-informed regarding what to expect during the scan
  • Communicate with the MRI Technicians
  • Assist patients with report access and app installation issues, as needed

Patient Post Scan Support

  • Perform standard check-out processes
  • Explain next steps to patient-participants
  • Assist with Nurse Practitioner results-review call scheduling
  • Coordinate report distribution and health practitioner communication


What You'll Bring

  • Experience with patient care, such as a background in nursing, could be an asset
  • Prior experience in a retail-sales environment and customer service would be expected to be a benefit; background in direct-to-consumer medical-service sales an additional plus
  • Strong, outgoing team players with genuine empathy for patients
  • You’re reliable and self-motivated - excited by fast-paced work, and are able to work well under pressure
  • Strong interpersonal skills - ability to communicate in a professional and courteous manner with patients, coworkers, management, and medical professionals
  • Be a fast-learner who retains information and adapts quickly

  • Understanding and exhibiting a high emphasis on patient privacy and confidentiality
  • Exceptional time management skills, exhibiting sound judgment, and the ability to multi-task is paramount
  • Passion for the Prenuvo clinical mission and the scientific endeavor of this clinical trial
  • This is an on-site location, so candidates from the Boston area or those who would be willing to relocate would be preferred. Ideally, candidates should reside within an up-to 45-minute commuting distance from the clinic site
