Key Responsibilities:
- Coach the Payroll Specialists, ensuring they are knowledgeable about the established payroll processes, procedures, and internal controls. Provide guidance to Payroll Specialists, answering queries and act as a go-to resource for them.
- Act as a Payroll Specialist when required to ensure payroll is completed on time.
- Review payroll inputs for each pay group for accuracy. Ensure all documentation is received and approved by appropriate departments as per established payroll schedules to avoid delays and/or incorrect payments to employees.
- Update and improve payroll trackers and checklists to ensure all semi-monthly, monthly, quarterly, and yearly payroll activities are prepared and submitted by appropriate deadlines.
- Maintain and develop payroll documentation for all workflow and system procedures necessary to support the Canadian and US payroll processes.
- Process off-cycles for restricted stock unit payouts, vesting of options and restricted stock units, Regular 102, director fees, annual amendments, and liquidity events.
- Manage payroll integrations (e.g., SuccessFactors, Sun Life, Fidelity, PlanSource), ensuring data integrity and issue resolution.
- Complete knowledge and understanding of payroll processes, payroll system configuration and the reason for specific procedures to accurately analyze practices. Suggest process improvements, system maximization and efficiencies implementation.
- Understand information flowing into the payroll system from other systems (Success Factors, Sun Life, Fidelity, PlanSource), track issues and ensure alignment and accuracy. Manage integrations where required.
- Maintenance of system updates (updating codes such as new deductions, earnings, codes for finance and benefits purposes); updating the existing check templates, pay policies, earnings/deductions groupings to accommodate company requirements and CRA, IRS and state tax legislations/changes.
- Review and update the time and attendance module configuration to ensure it follows all applicable Federal, State, Provincial payroll laws and internal policies.
- Manage the payroll tax accounts:
- Address letters from tax agencies and PIER from CRA.
- Record and review payroll journal entries, update the GL mapping in the payroll system as per business requirements.
- Review the payroll and benefits bank accounts statements daily to book all transactions in the accounting system after tying the amounts to the payroll summaries, benefits reports and other supporting documentation.
- Establish and communicate payroll schedules, and deadlines amongst departments for necessary payroll input.
- Generate payroll reports as needed, such as but not limited to: WCB, ACA, Bonusable earnings, taxes owed on restricted stock units and stock options vested.
- Assist with any payroll, benefit, or pension related audits.
- Assist with any future implementation of payroll/HCM systems, integrations with Fidelity and HSA provider.
- Closing payroll tax accounts for acquired companies.
- Assist with any future acquisitions and projects.
Required Experience:
- Post-secondary education in Payroll/Business or related fields
- Payroll Compliance Professional (PCP) certification
- Minimum 7 years' experience processing payroll
- Experience in US and CAD payroll practices including multi-state processing
- Solid understanding of payroll processes and relevant legislation, source deduction and government remittance procedures (USA and CAD)
- Advanced Excel skills are required
- Flexibility and adaptability in a fast-changing and dynamic environment with evolving systems and procedures
- Strong time management and organizational skills
- Self-motivated and detailed-oriented with the ability to prioritize and deliver results independently
