ABOUT THE ROLE:
As the Executive Assistant for the president of the Points Business Unit, you will be responsible for proactively supporting our President’s day-to-day as well as providing general administrative support to our Global CFO and CMO.
A highly organized individual that excels at building exceptional relationships. We are looking for someone with a positive, approachable attitude that can anticipate the needs of our Executive Leadership Team.
WHAT YOU WILL BE DOING:
Reporting to the Manager, Workplace Operations, you will be:
• Providing executive-level support with complex calendar management, travel arrangements and expense reports.
• Proactively managing workflow on behalf of the President as well as liaising professionally and eloquently with internal and external stakeholders.
• Organizing materials and logistics for key meetings; distributing agendas, and all other relevant materials and, coordinating room bookings and catering when needed.
• Assisting with the preparation of documents, sheets and slides, including proofreading, performing page layout and formatting.
• Coordinating Points Leadership Team events, trips and dinners and spearheading projects and initiatives as defined by the President.
• Providing additional general administrative tasks and duties as assigned by the President as well as ad hoc support to other members of the Points Leadership Team, including supporting other departments as needed.
• The role requires the candidate to work in a hybrid model, both from home and out of our downtown office in person when needed. As well as be available outside of normal working hours to provide support to the President on urgent matters, tight deadlines and business travel.
• Coordinating the Points Business Unit town halls including managing calendar invites, coordinating presentation templates, and facilitating back-end logistics for the live event.
YOU ARE SOMEONE WITH:
• 3 to 5 years experience as an Executive Assistant supporting multiple Senior Executives as well as managing multiple calendars and schedules.
• Advanced technical skills and proficiency with Adobe, Slack and Google Workspace, including: Gmail, Google Calendar, Docs, Sheets, Slides, etc.
• Experience booking international executive travel.
• Previous experience with accounting or budgets is an asset.
• Excellent organizational skills and detail-oriented.
• Ability to maintain a high degree of discretion and confidentiality.
• Ability to work both as a team as well as autonomously with minimal supervision.
• Great at prioritizing competing needs in a high-energy, fast-paced work environment while remaining calm, cool and collected under pressure.
• Positive outlook and adaptability with the ability to uplift the energy of the workplace and build on our company culture.
• Must have flexible work availability to support the Executives and their travel schedules as required.
• Advanced verbal & written communication.
