The Facility group, as a component of the Strategic Resources department, is responsible for the management of all corporate real estate worldwide, as well as site sustainability. This department oversees operations and special projects at over 30 facilities around the world.
The Senior Office Manager focuses on managing both the hard and soft facilities of the office, ensuring they operate safely and effectively to support employees, clients, and visitors. Additionally, you will contribute to projects aimed at continuously improving facilities and services. This role will support remote offices and regional security management.
Key Responsibilities:
- Facilities Management: Maintain high standards of office management and maintenance, ensuring clean, organized, and adequately stocked facilities.
- Vendor and Supplier Relations: Build and maintain strong relationships with service providers, liaising with the Legal team for contract renewals.
- Administrative Support: Manage meetings, desk booking systems and Intranet site, create and update documentation, and serve as backup coverage regionally as needed.
- Project Collaboration: Support and manage tasks related to office projects.
- Operational Efficiency: Oversee access control, routine office checks, and manage mechanical and electrical systems, food services, and cleaning schedules with regular meetings.
- Operational Knowledge: Develop a strong understanding of key office management tasks to provide effective backup for the Office Manager NYC, Norwalk and Remote
- New Hire Onboarding: Conduct facilities onboarding for new hire classes to ensure smooth integration into the office environment.
- Health and Safety Compliance: Ensure adherence to company policies and safety/security procedures, managing emergency teams and related documentation.
- Cost Management: Approve invoices, monitor costs, and onboard new suppliers.
- Security Management: 1) Communicate and support security processes and policies effectively. 2) Oversee comprehensive security management, including access control and badging systems including regional card creation (along with using Workday and completing RPD signoffs). 3) Manage security device procurement, respond to security incidents and emergencies, and maintain functionality of all security systems and devices through a robust preventative maintenance program along with the Manager.
Qualifications:
- Bachelor’s degree preferred; or relevant experience will be considered
- Minimum of 5+ years of office management experience in a fast-paced environment, including experience in supervising teams and managing multiple office locations.
- Proven track record in leading and developing team members and fostering a collaborative work environment.
- 5 + years of customer service experience with strong relationship-building skills and the ability to maintain professionalism under pressure.
- Advanced skills in technical writing, analysis, verbal communication, and customer service.
- Excellent planning, prioritization, and organizational abilities, including successful management of complex office operations and systems.
- High proficiency in computer systems, including MS Word/Excel/Outlook or equivalent, with experience in managing office management software and systems.
- Ability to lift to 55 lbs and stand, sit, or walk for extended periods.
- Proven ability to adhere to company policies while effectively resolving employee or customer issues.
- Willingness to work overtime and weekends if needed, and ability to adapt to evolving business needs.
- Ability to work full time on-site from an office in Norwalk, CT
- Travel to our NYC office as needed
The budgeted salary range for this position in the state of Connecticut is $74,000 - $80,000.
