As our Office Coordinator, you will play a key role in fostering a collaborative, engaging, and impactful work environment. You'll be responsible for managing our new office space, organizing team events, townhalls, external networking events, and offsites, while also ensuring smooth day-to-day operations. Your efforts will be vital in supporting both our team’s productivity and overall experience at Phoenix.
Responsibilities:
Manage day-to-day office operations to ensure everything runs smoothly and efficiently.
Ensure supplies are stocked and office equipment is functioning properly.
Liaise with building management to address and resolve any facility-related issues.
Lead the planning and execution of company events, including socials, offsites, townhalls, and gatherings.
Handle logistics, vendor management, budgeting, materials preparation, and equipment setup for events.
Coordinate catering, audiovisual needs, and other requirements for seamless event execution.
Support the onboarding process for new hires and ensure a smooth employee experience.
Provide general administrative support, such as managing phone calls, emails, and office correspondence.
Assist in managing office-related expenses, tracking budgets, and processing invoices.
Qualifications:
Proven experience as an Office Coordinator, Office Manager, or in a similar administrative role.
Experience in event planning or coordination.
Strong organizational, multitasking, and attention to detail skills.
Excellent written and verbal communication abilities.
Strong problem-solving skills and adaptability.
Ability to work independently while also being an effective team player.
You can lift up to 20lbs.
