Responsibilities
The Operations Associate will be PheedLoop's welcoming face, managing front-desk operations, performing administrative tasks, and ensuring smooth day-to-day office functionality. This role primarily focuses on receptionist duties and administrative support but includes opportunities to assist the marketing, logistics, and finance teams as needed. The ideal candidate is organized, personable, and adaptable, with strong communication skills and a proactive approach to problem-solving.
- Front Desk & Communication: Greet visitors, manage incoming calls and emails, and maintain a professional reception area while serving as the first point of contact.
- Administrative Support: Handle scheduling, data entry, and office organization, including managing supplies, mail, and travel arrangements.
- Marketing Assistance: Support the marketing team with tasks like formatting materials, light research, or event preparation as needed.
- Logistics Support: Assist logistics by tracking shipments, updating inventory records, and preparing basic documentation. Occasional travel to events across Canada and the US may be required, fully paid by PheedLoop.
- Interdepartmental Coordination: Relay messages, manage meeting room bookings, and collaborate with teams to ensure smooth operations.
- Problem-Solving & Confidentiality: Address minor operational issues, escalate larger concerns, and handle sensitive information discreetly.
Qualifications
- 1+ years of operations experience
- Proficiency with Excel and Google Sheets, and data-entry with meticulous attention to detail
- Impeccable written and verbal communication skills (English)
- A university/college/post-secondary degree is a must, recent graduates welcome
