We are seeking a highly organized and detail-oriented People and Operations Administrator to join our dynamic team. This role will be key in ensuring the smooth and efficient running of our office operations by providing support across various functions, including Human Resources, Executive Assistant tasks, day-to-day office operations, team event planning, and preparing for customer visits. The role will also respond to inquiries from team members regarding travel arrangements and other administrative matters.
This is an exciting opportunity for someone who enjoys wearing multiple hats and thrives in a fast-paced environment. The ideal candidate will have experience in HR-related administration, and other administrative functions and a passion for creating an efficient and effective work environment.

Primary Responsibilities

Operations Administration
  • Ensure the office operates smoothly by managing office supplies, equipment, and vendor relationships.
  • Coordinate office maintenance and repairs as needed.
  • Assist with health and safety compliance and ensure the office environment is conducive to productivity.
  • Manage incoming and outgoing communications, including mail, email, and phone calls.
  • Serve as the primary contact for inquiries from team members related to administrative matters, such as travel, office supplies, and general office needs.
  • Coordinate and execute team events (e.g., team-building activities, company-wide meetings, celebrations, etc.).
Human Resources Administration
  • Assist with recruitment processes, including posting job vacancies, screening resumes, and scheduling interviews.
  • Support the onboarding and offboarding process, ensuring smooth transitions for new and departing employees.
  • Maintain accurate and up-to-date employee records, including HR databases and employee files.
  • Assist with benefits administration, including enrollment, claims, and updates.
  • Help organize employee engagement activities and other employee programs
  • Serve as the point of contact for day-to-day employee inquiries.
  • Manage co-op funding applications
Executive Assistant Support
  • Provide administrative support to the executive team, including calendar management, travel arrangements, and meeting coordination.
  • Prepare reports, presentations, and correspondence as required by executives.
  • Assist in organizing and coordinating company events and meetings.
  • Respond to travel inquiries and coordinate employee travel plans, including booking flights, accommodations, and transportation.
  • Prepare for customer visits by organizing meeting spaces, catering, and any required materials or presentations.
  • Manage office-related purchasing and credit card reconciliation
  • Liaise with the landlord, travel agency and maintenance vendors
  • Manage legal documents and files
Other Duties as Assigned
  • Perform additional administrative duties as required to support various departments and the overall efficiency of the organization.

Skills and Experience

  • Proven experience in an administrative role with exposure to HR and/or operations.
  • Strong organizational and multitasking skills, with a high level of attention to detail.
  • Excellent communication skills, both written and verbal.
  • Experience with HRIS is an asset
  • Ability to work independently and as part of a team.
  • Strong problem-solving skills and the ability to take initiative.
