Job Description

A "Calibrations and Preventive Maintenance Coordinator" is a key role in an organization's operations, responsible for ensuring that all equipment, machinery, and tools are consistently operating at optimal performance and in compliance with quality and safety standards. This position is a blend of technical expertise and administrative coordination, often working independently to implement and manage the company’s maintenance and calibration program.

Job Summary

The Calibrations and Preventive Maintenance Coordinator is responsible for planning, scheduling, and overseeing all preventive maintenance and calibration activities for equipment, machinery, and instruments. This role is critical for minimizing downtime, extending the lifespan of assets, and ensuring compliance with industry regulations and quality standards. The coordinator acts as a central point of contact, liaising with internal teams and external vendors to execute a proactive maintenance strategy.

Key Responsibilities

  • Program Management: Develop, implement, and maintain the company’s preventive maintenance and calibration program.
  • Scheduling and Coordination:
    • Create and manage a master schedule for all preventive maintenance (PM) and calibration tasks.
    • Coordination with internal departments (e.g., Production, Quality, Engineering) to schedule maintenance activities with minimal disruption to operations.
    • Schedule and oversee third-party vendors and contractors for specialized maintenance and calibration services.
  • Documentation and Record-Keeping:
    • Maintain a detailed and accurate records in our local Computerized Maintenance Management System, of all equipment assets, maintenance history, and calibration records.
    • Ensure all documentation, including calibration certificates, work orders, and maintenance logs, is complete and up to date for audit purposes.
    • Generate regular reports on maintenance performance, equipment status, and compliance.
  • Technical and Quality Support:
    • Perform hands-on preventive maintenance and calibration on equipment as needed.
    • Troubleshoot equipment issues and identify our-of-tolerance results, taking corrective action as required.
    • Support new equipment installations and qualification/validation activities.
    • Ensure all activities adhere to regulatory requirements (e.g., ISO, Corporate, EHS).
  • Inventory and Budget Management:
    • Manage the inventory of spare parts, tools and standards ensuring that they are readily available for scheduled calibration activities.
    • Assist in developing and managing the maintenance and calibration budget.

Qualifications

  • Education/ Experience: An Associate’s degree in a relevant field (e.g., Electrical, Mechanical, or Manufacturing Engineering) or equivalent technical certification. A minimum of 2+ years of experience in a similar role within a manufacturing, industrial, or regulated environment.
  • Technical Skills:
    • Strong knowledge of preventive maintenance principles and best practices.
    • Experience with various measurement tools (e.g., calipers, micrometers, force gauges) and calibration standards.
    • Proficiency with CMMS software and Microsoft Office applications.
  • Soft Skills:
    • Excellent organization and time-management skills with a strong attention to detail.
    • Strong written and verbal communication skills.
    • Ability to work independently and prioritize multiple tasks effectively.
    • Problem-solving and critical-thinking abilities.
