Job Description
We are looking for an Administrative Assistant to join our Legal Operations team in the Office of General Counsel (OGC). You will report to the Legal Operations Manager. The Legal Operations team guides the continued success of the Legal Department by enabling our People, Processes, and Technology. You will directly support the Vice Presidents of Law and their leadership teams providing high-level administrative and programmatic support.
You will be in a hybrid position based at our HQ in Milwaukee, Wisconsin, with required days in the office per week including Mondays, Tuesdays, and Thursdays subject to change based on our needs.
Your Responsibilities:
People
- Calendaring and organizing meetings for leaders within the Legal department
- Coordinate on-site meetings, book travel, submit expense reports, and event management.
- Collaborate with other internal partners on meeting agendas, projects, issue resolution, and company-wide programs.
- Provide general administrative support to the Legal department including: supply ordering, distributing mail and shipping, facility and IT tickets, and onboarding new employees.
Processes
- Follow practices for invoice payments with collaboration from Accounts Payable and Finance teams.
- Create compelling meeting materials, internal communications, intranet sites, and newsletters.
- Create best-practice documents and checklists. Ensure global alignment on projects and process improvements.
- Back-up on matter management platform for matter management, follow and maintain corporate records following company policies.
Technology
- Become proficient and use our technologies including Outlook, Teams, SharePoint, e-billing/matter management platform, and SAP.
- Collaborate with the team on maintaining existing technologies like Teams Sites, and SharePoint Sites.
The Essentials - You Will Have:
- High School Diploma or GED
- Legal authorization to work in the U.S. We will not sponsor individuals for employment visas, now or in the future, for this job opening.
The Preferred - You Might Also Have:
- 3+ years of experience in a support capacity, and minimum 2+ years of experience supporting leadership.
- Experience supporting business leaders in a matrixed organization is welcomed
- Strong interpersonal, organizational, time management, and written and verbal communication skills.
- Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response
- Experience implementing improvements.
- Comfortable using technology to drive team productivity.
- Demonstrated capability to work on multiple types of activities at any one time.
