What you’ll do

Reporting to the Senior Vice President, Commercialization, dotted line reporting to the Vice President, Marketing and working as part of a cross-functional team, the Sales Operations and Marketing Assistant will provide unparalleled support in the coordination of the sales and marketing teams. The Sales Operations and Marketing Assistant will provide essential administrative support to the Sales and Marketing executives and manage a variety of value add administrative and strategic tasks for the teams. The Sales Operations and Marketing Assistant is exceptionally adept with technology and is always one step ahead by consistently anticipating and pre-emptively acting on needs.

This includes:

  • Providing exceptional administrative support to the sales and marketing executives along with their teams. This includes but is not limited to:
    • Liaising with the sales team on behalf of the sales and marketing executives
    • Coordinating materials for strategic commercialization processes
    • Ensuring that executives are prepared for all internal and external meetings
    • Coordinate logistics for meetings and events, including venue booking, catering, and materials preparation
    • Participate as member of the sales and marketing teams including assisting with the coordination and scheduling of strategic activities, attending meetings, and recording minutes as assigned
  • Act as the key point of contact for coordinating and organizing attendance and travel for conferences and events
  • Provide technical assistance including, but not limited to making the setup and execution of conference calls and presentations, prepping reading material for events, suggest improvements, and implement changes where appropriate
  • Organize and coordinate executive outreach and external relations efforts, planning and coordinating events as necessary
  • Support executive communications, including drafting letters, emails, memos, internal and external communications, PowerPoint presentations, and other materials; proofreading all work to ensure accuracy and brand conformity
  • Prioritize conflicting needs; handle matters expeditiously, proactively, and follow through on projects to successful completion
  • Assist in coordinating sales meetings, conferences, and events, including logistics and materials preparation
  • Assist in tracking and analyzing sales targets, campaign performance metrics and prepare reports for management
  • Supports the commercial team with expense reconciliation as required
  • Maintain CRM (customer relationship management) platform data on behalf of the commercial team
  • Maintain a clean, and safe working environment (must have)
  • Perform duties in a manner that is consistent with and committed to upholding the requirements of the quality management system (this statement must be included for roles including those that do not have specific QMS requirements within their job descriptions. If the role has specific QMS requirements, ensure those are also listed)

Additionally, due to the ever-changing and sometimes chaotic environment of an early-stage high-tech company, the Sales Operations and Marketing Assistant may assume additional responsibilities, as required.

What you’ll bring

  • 2+ years administrative experience in a fast-paced environment
  • Experience supporting commercial and marketing teams is considered an asset, US Sales or Marketing experience is an additional asset
  • Education in a field related to office administration is considered an asset
  • Strong and reliable technical skills with Microsoft 365 specifically PowerPoint and Excel is a must
  • Strong experience with CRM and is an asset, HubSpot experience is strongly preferred
  • Proven organization and time management skills with the ability to effectively manage time and prioritize tasks in a diverse environment with competing deadlines
  • Outstanding interpersonal skills to effectively communicate with colleagues, partners, and stakeholders
  • Impeccable attention to detail and accuracy
  • Results-oriented with a sense of urgency work with staff and stakeholders, as required, to exude a “can do” attitude
  • Demonstrated ability to maintain confidentiality and exercise tact and discretion in dealing with sensitive and confidential matters

The details

Employment status: Permanent full time.

Schedule: 40 hours per week from Monday to Friday. Daily schedule may change periodically, depending on operational needs.

Work location: Calgary, Alberta preferred, remote for the right candidate.
