Role Overview:

As a Bookkeeper/Office Manager, you will play a dual role in managing the daily financial records and ensuring the smooth operation of the Tokyo office. This position is ideal for someone who is highly organized, comfortable working independently, and has a strong understanding of both finance and general office administration within a corporate environment.

Responsibilities:

Bookkeeping & Finance Support:

  • Maintain accurate financial records including AP/AR, general ledger entries, and expense tracking.
  • Manage and reconcile bank statements, credit cards, and petty cash.
  • Assist in preparing monthly financial reports and forecasts in coordination with regional finance.
  • Support payroll processing in coordination with external vendors or internal HR/payroll teams.
  • Ensure compliance with Japanese tax and financial regulations; liaise with external accountants or auditors as needed.
  • Assist in the annual budgeting process and monitor actuals vs. budget.

Office Management:

  • Oversee general office administration including supplies, mail, equipment, and vendor relationships.
  • Coordinate facility maintenance and ensure a professional, efficient work environment.
  • Manage onboarding logistics for new employees (desks, IT setup, access cards).
  • Organize meetings, internal events, and team-building activities.
  • Act as the local point of contact for HR, IT, and administrative matters.
  • Ensure office compliance with Japanese labor, health & safety, and data privacy regulations.
  • Proven experience as a bookkeeper, finance assistant, or office manager (ideally in a tech or financial services environment).
  • Strong understanding of Japanese accounting practices and corporate compliance.
  • Proficiency in accounting software (e.g., QuickBooks, Xero) and Microsoft Excel.
  • Fluent in Japanese and business-level English (written and spoken).
  • High level of integrity, accuracy, and confidentiality
