Novarc Technologies is looking for a junior Technical Proposal Specialist to join our growing team and support the production of our cobots.

Summary: As a highly organized and meticulous Junior Technical Proposal & Contract Specialist you will be responsible for owning and managing all technical proposals at Novarc. You will work closely with Legal, Sales, the CRO, Sales Engineers, and the broader Engineering team to ensure that proposals are scoped correctly, priced accurately, formatted professionally, and meet both customer and internal requirements. Beyond proposals, this role extends into negotiations, contract modifications, and managing master service agreements or supplier compliance forms to ensure a seamless handoff to operations and project teams. This position requires both technical and commercial acumen to effectively translate engineering scope and pricing into customer-ready proposals and contracts.

Duties and Responsibilities:

Proposal & Pricing Management

  • Own the entire proposal lifecycle, ensuring all details—scope, pricing, margins, wording, and formatting—are accurate and professional.

  • Work with Sales Engineers and Engineering teams to clarify technical scope and deliverables in proposals.

  • Ensure pricing accuracy by collaborating with Finance and Sales.

  • Maintain a proposal template library for efficiency and consistency.

  • Track proposal statuses and ensure timely follow-ups.

Contract & Legal Support

  • Assist in contract negotiations, ensuring proposals transition smoothly into legally binding agreements.

  • Work with the Legal team on Terms & Conditions, amendments, and redlines to customer agreements.

  • Manage Master Service Agreements (MSAs), supplier forms, and compliance documentation to ensure Novarc can onboard new projects efficiently.

Cross-Team Collaboration & Handoff to Operations

  • Work with the Operations and Project teams to ensure all contractually agreed-upon details are clearly documented and ready for execution.

  • Support Sales and Legal during complex negotiations by ensuring proposal changes are reflected in the final contract.

  • Maintain detailed records of all proposal revisions, approvals, and contract changes.

Minimum Qualifications and Experience:

  • 1–3 years of experience in technical proposal writing, contract administration, or a related role.

  • Bachelor’s degree in Engineering preferred.

  • Strong commercial acumen and ability to understand technical and financial trade-offs in proposals.

  • Highly detail-oriented with strong organizational skills.

  • Proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace, and CRM tools (e.g., Salesforce, HubSpot, or equivalent).

  • Strong written and verbal communication skills to interface with multiple stakeholders.

  • Ability to work independently and take ownership of complex documentation and processes.
