We're looking for an Office & Culture Coordinator to join our awesome People & Culture Team in St. John’s, NL! This isn’t just any job; it’s your chance to keep our office running smoothly while creating a fun, vibrant, and engaging workplace. You'll be the go-to person for employee questions and the heart of our Mysa Team's spirit, making sure everyone feels energized and excited to come to work. Role Overview:

  • Office Management
  • Ensure the office is clean, organized, and an attractive space for working.
  • Manage relationships with various office vendors and service providers (ie. Executive Coffee, office cleaning company, etc).
  • Manage inventory of all office supplies and proactively place orders before supplies diminish.
  • Arrange all building fobs and parking passes for employees.
  • Coordinate with building management/maintenance staff as necessary.
  • Use your creativity to revamp the office working and social spaces to make it more engaging & enjoyable.
  • Oversee all incoming and outgoing mail, including FedEx/Canada Post shipments, ensuring accurate and timely handling.
  • Ensure the People & Culture invoices/credit card reconciliations are properly matched to financial transactions and tracked accordingly.
  • Work with our Corporate Travel Agency to book all business travel requirements.
  • As a member of our People & Culture-driven OH&S team, conduct various OH&S checks and fulfill requirements, including ergonomic assessments, ensuring First Aid kits are stocked, etc.
  • Execute various office-related tasks for employees as they may arise.
  • Assist our CEO with various office/administrative requirements as they may arise.
  • Company Culture
  • Responsible for purchasing and maintaining the employee snack inventory, as well as ordering company-provided Friday lunches.
  • Lead our Social Committee by planning and organizing our regular social events, such as company wide team building events, smaller scale fun social gatherings, and various celebrations.
  • Coordinate, and be the cheerful host of, our company wide weekly meetings where each department gives various updates (managed over Google Meets to include our remote workers).
  • Lead our Mysa Green team by driving fun quarterly eco-friendly & environmental initiatives.
  • Lead our Mysa Gives initiatives by organizing quarterly volunteer and donation opportunities to give back to our community.
  • Lead the process of curating our Mysa Swag catalogue and ordering employee purchases.
  • Take feedback received from annual employee satisfaction & culture surveys and implement various improvements to our office, social initiatives, and overall employee experience.
  • Be a positive influence for the company culture through in-person interactions, and on our company communication tool, Slack.
  • Support and promote diversity and inclusion initiatives.
  • Human Resources
  • Assist with the onboarding process for new employees, including onboarding sessions and office tours.
  • Assist the People & Culture Lead in the recruitment process, including posting job openings, screening resumes, and coordinating interviews.
  • Assist with planning and executing social media (Instagram and Linkedin) posts to promote external employer branding.
  • Assist the People & Culture team with other HR administrative duties and processes as needed.
