About the Role
MealSuite is seeking an experienced Executive Assistant to support our Executive Leadership Team. Reporting to our Chief of Staff, Executive Operations, this role operates as a trusted partner, ensuring the executive’s day-to-day activities run seamlessly. Due to the nature of this role this role will require 4 days in the office with 1 remote day.
The Executive Assistant will play a critical role in managing priorities, coordinating engagements, and enabling efficiency across both professional and personal commitments. You will serve as a strategic partner to senior leaders, owning complex scheduling, communications, and logistics while balancing competing priorities in a fast-paced environment. Success in this position requires strong judgment, attention to detail, and the ability to anticipate needs in a constantly evolving environment.
What You’ll Do
• Own and manage high-volume, complex calendars for 3–4 ELT members (C-level and/or VP), making strategic trade-offs to balance priorities, focus time, and stakeholder needs.
• Act as a trusted gatekeeper and partner to executives by prioritizing engagements and challenging low-value meetings.
• Coordinate domestic and international travel, including detailed itineraries and proactive contingency planning.
• Serve as a primary point of contact by managing communications and correspondence on behalf of executives with professionalism and discretion.
• Lead end-to-end execution of internal meetings and events (e.g., all-hands, leadership sessions), including logistics, timelines, and stakeholder alignment.
• Support external engagements, customer visits, and executive-level functions through planning and coordination.
• Handle logistics related to personal matters, appointments, and household coordination with a high degree of confidentiality.
• Provide vacation or temporary coverage for Office Administration support as needed.
• Maintain strict confidentiality when handling sensitive executive and business information.
What You Bring
• 7+ years of experience supporting a CEO or Executive Leadership Team member.
• Proven ability to manage complex scheduling, travel coordination, and event logistics.
• Experience supporting senior leadership in a fast-paced, high-performance environment.
• Exceptional organizational skills with the ability to manage competing priorities effectively.
• Strong written and verbal communication skills with a polished, professional approach.
• Demonstrated ability to coordinate across teams and drive progress without owning subject matter expertise.
• High level of discretion and sound judgment when handling confidential information.
• Proactive mindset with the ability to anticipate needs and solve problems independently.
• Strong collaboration skills.
• Experience with Salesforce is considered an asset.

Compensation
$80,000 – $90,000 CAD
