Description
At Lufa Farms, we’re on a mission to create a better food system and, at the heart of this, is growing food where people live and doing it responsibly. This led us to build the world’s first commercial rooftop greenhouse in 2011, followed by the world’s largest less than a decade later. With new promotional projects requiring structured management, we’re looking for a motivated individual to become our Greenhouse Administrative Assistant.
Acting as the Greenhouse Director’s administrative right hand, the Administrative Assistant ensures the efficient administrative coordination of the department by managing communications, documentation, purchasing processes, B2B operations, financial reporting, and database organization while supporting HR and team collaboration.
Responsibilities
Process emails, calls, and purchase orders, respond to various requests, and follow up on them for the greenhouse department as a whole;
Write, correct, and format various documents (correspondence, notice of meetings, grant requests, agendas, etc.);
Create and update PO processes and deliveries, including various billing reports;
Coordinate all administrative aspects, including working with HR to ensure all documentation pertaining to employee files and training logs are up to date;
Coordinate the B2B aspect in conjunction with management, the sales, and distribution department;
Coordinate with the finance department as needed for cost reports and analysis;
Manage databases, perform various queries, and produce reports;
Help organize and set up the department’s Google Drive and legacy documentation.
Requirements
Bachelor's degree;
Two to three years' experience in administrative role;
Advanced knowledge of the Microsoft Office suite (Excel, PowerPoint, Word);
Bilingual (French and English), both written and spoken;
Strong analytical, organizational, and structuring skills;
Excellent priority management, initiative, autonomy, and attention to detail;
Effective problem-solving skills.
Assets
Background in plant science, agriculture, or the food industry;
Schedule
Full-time (40 hours per week);
Note: This position requires flexibility to occasionally work outside normal office hours, as needed.
Compensation & Benefits:
Salary to be determined based on experience and knowledge of the candidate;
Reimbursement of cell phone expenses up to 60% of the monthly amount (capped at $60 per month);
