Role Description:

Arcadis is seeking a highly skilled and motivated Subconsultant Relations Administrator to support one of the most iconic and consequential infrastructure initiatives in the United States — the Gateway Hudson Tunnel Project (HTP). In this role you will serve as the primary point of contact between the organization and its subconsultants. This role ensures effective communication, coordination, and compliance across all phases of project engagement. The administrator fosters strong partnerships, resolves issues, and supports strategic collaboration to ensure project success and alignment with organizational goals.

We are working in partnership with Parsons and Mace as part of the MPA Delivery Partner team, selected by the Gateway Development Commission to deliver this transformative project. The HTP is a critical component of the broader Gateway Program — one of the most ambitious and impactful transportation initiatives in the nation — and is designed to strengthen mobility, enhance resiliency, and ensure the long-term reliability of the Northeast Corridor.

The project encompasses the construction of a new, two-track rail tunnel beneath the Hudson River, along with the full rehabilitation of the existing 113-year-old North River Tunnel. This vital infrastructure supports more than 200,000 daily passengers via Amtrak and NJ TRANSIT and serves as a backbone for economic activity and connectivity between New York and New Jersey.

Role Accountabilities:

Relationship Management

  • Establish and maintain productive relationships with subconsultants across disciplines.
  • Serve as the central communication hub for contract negotiations, project updates, and issue resolution
  • Facilitate onboarding and orientation for new subconsultants, ensuring alignment with company standards and expectations

Project Coordination

  • Coordinate schedules, deliverables, and milestones between internal teams and subconsultants
  • Monitor subconsultant performance and provide feedback or support as needed.
  • Ensure timely submission of reports, invoices, and documentation from subconsultants.

Compliance & Documentation

  • Ensure subconsultants meet contractual, legal, and regulatory requirements.
  • Maintain accurate records of contracts, certifications, insurance, and communications
  • Assist in the development and implementation of procedures to improve collaboration and efficiency

Strategic Collaboration

  • Identify opportunities for deeper collaboration and long-term partnerships.
  • Support the restoration or renewal of previously successful subconsultant relationships
  • Report on the effectiveness of current partnerships and recommend improvements.

Reporting & Analysis

  • Track and report on subconsultant engagement metrics, performance, and satisfaction.
  • Analyze trends to improve collaboration strategies and optimize resource allocation.
  • Prepare reports and presentations for leadership on subconsultant relations and outcomes.

Required Qualifications:

  • Bachelor’s degree in Business or Public Administration, Communications, Project Management, or a related field.
  • 5+ years in consultant/vendor management, project coordination, or liaison roles.

Key Skills and Abilities:

  • Strong knowledge of cost estimating methodologies, budget management, and financial reporting.
  • Familiarity with project management plans, contract administration, and change management processes.
  • Proficiency in cost management software and tools.
  • Excellent analytical, communication, and organizational skills.
  • Ability to work collaboratively in both office and field environments.

Arcadis offers benefits for full time and part time positions. These benefits include medical, dental, and vision, EAP, 401K, STD, LTD, AD&D, life insurance, paid parental leave, reward & recognition program and optional benefits including wellbeing benefits, adoption assistance and tuition reimbursement. We offer nine paid holidays and 15 days PTO that accrue per year. The salary range for this position is $140,000 - $185,000. Actual salaries will vary and are based on several factors, such as experience, education, budget, internal equity, project and location.
