WHAT’S THE OPPORTUNITY?
At Hillsdale, we take pride in delivering a high-touch, high-integrity experience to every client we serve. As part of our Private Client Investment Services team, you’ll play a central role in ensuring that experience is seamless — managing the operational details that support our high-net-worth clients while helping refine the processes that keep our business running smoothly.
You’ll work closely with members of the Private Client Investment Services team and colleagues across operations, compliance, and portfolio management. This is an opportunity to work in a boutique, team-oriented environment where accuracy, curiosity, and initiative are valued — and where your contributions make a tangible impact every day. Specific accountabilities include:
- Operations: Manage daily operational processes, including trade entry, transaction requests, and compliance documentation.
- Customer Service Management: Support the client onboarding process, ensuring all forms are accurate, complete, and consistent with firm policies.
- Customer Relationship Management (CRM): Maintain accurate and timely data within the firm’s CRM platform. Assist with configuring reports, dashboards, workflows, and standardized templates to support client servicing, compliance, and operational efficiency. Partner with internal and external technology resources on CRM enhancements and process improvements.
- Data Management and Integration: Assist with data extraction, validation, and reconciliation across internal systems and third-party platforms. Support reporting and process automation initiatives, working alongside technical resources on system integrations. Exposure to SQL, Python or Apex (Salesforce) for data analysis and automation is considered an asset.
- Analytics Support: Generate client reports, assist with data and materials for investment proposals
- Project Management: Contribute to continuous process improvements by identifying automation opportunities and standardizing templates.
WHAT WILL YOU BRING?

- Ability to clearly communicate with and provide service to high-net-worth clients, applying professionalism and discretion.
- Logical thinking mindset to navigate an information-intensive environment to derive actionable insights from analysis
- Demonstrated aptitude and experience in working on custodian platforms (e.g., NBIN), wealth management software (e.g., Croesus, Naviplan), CRM solutions and the aptitude to quickly learn other technology platforms (e.g., Docusign, Constant Contact).
- Intermediate to Advanced Microsoft Office knowledge (Word, Excel, PowerPoint), with strong MS Excel skills.
- Good to Have: Exposure to basic data management skills, such as SQL and Python, or Salesforce CRM skills (such as Apex) to support reporting, reconciliation, and process automation.
- Familiarity with the financial markets with a thorough understanding of Mutual / Pooled funds.
