- Supervise the Front Desk Facilities Coordinator, providing direction, feedback, and performance management.
- Plan and coordinate in-office events, team lunches, celebrations, and executive visits.
- Serve as the primary point of contact for all Austin-based office services and needs.
- Coordinate new hire onboarding logistics including desk setup and office tours.
- Develop and implement local office procedures and best practices.
- Track, manage, and update Certificates of Insurance (COIs) in collaboration with the Legal team, vendors, landlords, and/or property managers.
- Assist the Facilities Director in collaborating with architects, engineers, and contractors on facility improvement projects.
- Lead onboarding and training for workplace tools such as space booking or lease management software.
- Prepare communications and signage for local initiatives, holidays, and operational updates.
- Develop and maintain office inspection checklists to monitor building quality and equipment functionality.
- Oversee equipment preventative maintenance schedules to ensure critical systems operate effectively across all sites.
- Drive sustainability initiatives and energy tracking across all offices; support broader Corporate Social Responsibility goals.
- Coordinate and prioritize multiple projects across functions; balance competing deadlines.
Required Experience:
- 5-10 years experience in Office Management or workplace operations in a corporate environment
- Experience supervising or managing team members
- Strong interpersonal and communication skills, with a focus on customer service
- Experience planning events and coordinating office programs
- Demonstrated success in managing office moves
- Strong attention to detail and organizational abilities
- Proficiency in Microsoft Office, especially Excel
- Experience managing outsourced service providers and monitoring performance
- Familiarity with cost-saving initiatives and budget tracking
- Ability to think critically and problem-solve in a dynamic environment
- Supervisory or team lead experience is a plus
- Willingness to occasionally support projects requiring travel or off-hours work, including visits to other Bazaarvoice office locations as need to support team initiatives
