We are always looking for amazing talent who can contribute to our growth and deliver results! Geotab is seeking an RFP Coordinator who will be responsible for coordinating the development and completion of proposal content with minimal supervision under strict deadlines.
What you'll do:
The RFP Coordinator performs a broad range of duties/tasks as a member of the RFX team. The RFX Team is responsible for supporting Geotab’s Sales Team and our Partners with responding to formal tender requests (RFXs: RFIs, RFPs, RFQs, etc.) and Security Questionnaires. The main responsibilities for this role are composed of proposal coordination, security questionnaire response coordination, and other RFX project related tasks. For the proposal coordination duties, the RFP Coordinator will be responsible for assisting in the preparation of RFP response material, as well as coordinating the completion of vendor and security questionnaires and other similar documents describing Geotab’s products and services. The RFP Coordinator will also be responsible for managing certain tasks related to the upkeep and maintenance of RFP tools and resources, such as the RFX Intranet site, Salesforce, and more.
How you'll make an impact

Perform administrative tasks within the RFX Team to ensure practice and procedure adherence.

Coordinate the completion of vendor profile and due diligence requests, security questionnaires and small-sized RFXs, communicating regularly with internal stakeholders to ensure clear timelines, deliverables and expectations are set.

Conduct “first passes” at responding to RFPs using the Loopio Content Management tool, and adjusting responses accordingly to answer the question.

Assist with finalizing proposals (proofreading, spellcheck, formatting, customer-ready format).

Updating RFX records in Salesforce to ensure accuracy and completion, following up with stakeholders and escalating if necessary.

Creating RFX response templates and assisting the RFP Manager with creating and updating supporting materials (Opportunity Overview, Meeting Minutes, Response Templates, Responsibility Matrices, etc.).

Support the RFP Specialist with the Loopio Content Management tool (adding new entries for the RFP Specialist to approve, following up with content contributors and reviewers, etc.).

Assist with the training of new interns/hires.

Supporting RFP Managers and RFP Specialists with the upkeep of RFX tools, training materials, wikis and intranet site.

Participate in strategic review exercises to assess the efficacy of Geotab’s RFX activities.

Coordinate and support the creation of infographics and graphics for the RFX template and responses.

Other tasks as required.
What you'll bring to the role

1-3 years of experience in Sales Operations. Experience working within a technical or engineering organization/knowledge of the high-technology industry is an asset.

Professional Certification in Proposal Management (e.g APMP Professional Certification) is highly valued.

Experience working within a technical or engineering organization/knowledge of the high-technology industry is an asset.

Technical competence using software programs, including, but not limited to, Google Suite for business (Sheets, Docs, Slides), and Microsoft Office Suite (Word. Excel, PowerPoint).

Experience with CRM Tools (e.g. Salesforce) and other tools/systems (e.g. Jira, Lucid Charts) is an asset.

Experience with Adobe Suite (Standard, InDesign, etc.) is an asset.
