We're seeking a systems-thinker to help strengthen and optimize our expense and procurement workflows. The Expense & Procurement System Specialist will manage our expense and corporate card management platform (Ramp), assist in developing a scalable procurement strategy leveraging AI and automation, and help design procurement protocols. The role will also maintain KPIs for accounts payable processes and support Accounts Payable (AP) reconciliation activities to ensure operational excellence.
What You'll Do:
- System Administration (Ramp):
- Serve as the primary system administrator for Ramp, managing user access, workflows, approvals, and troubleshooting issues.
- Implement best practices to ensure compliance and effective use of Ramp across the organization.
- Collaborate with IT and Talent teams to manage onboarding and off-boarding related to corporate card programs.
- Procurement Strategy and Development:
- Assist in building a long-term procurement strategy, with a strong focus on AI tools, automation opportunities, and scaling efficiencies.
- Research and recommend new technologies or enhancements to optimize procurement and expense management processes.
- Procurement Protocols:
- Work cross-functionally with IT, Legal, Talent, and other business units to develop and document procurement policies, approval hierarchies, and sourcing procedures.
- Support the rollout and training of procurement policies across the organization.
- Data and KPI Management:
- Build and maintain a real-time metrics dashboard tracking key AP and procurement KPIs (e.g., invoice processing times, expense compliance rates, vendor payment cycles).
- Regularly analyze and report on procurement and AP performance data, identifying trends and areas for improvement.
- Accounts Payable Support:
- Assist with AP reconciliations, including supplier statement reviews, unmatched invoice resolution, and expense reporting validations.
- Provide backup support during month-end and year-end close processes related to accounts payable.
What You Bring To The Table:
- Bachelor’s degree or diploma in Finance, Accounting, Business Administration, or related field.
- 3+ years of relevant experience in accounts payable, procurement operations, or systems administration.
- Experience administering expense management or procurement platforms (Ramp preferred, but not required).
- Strong technical aptitude with data dashboards and reporting
- Experience working cross-functionally across finance, legal, and IT teams.
- Strong understanding of procurement best practices and AP processes.
- Excellent organizational, analytical, and communication skills.
- Interest in emerging technologies, automation, and AI applications in procurement and finance operations.
- Systems thinking and proven operational skill related to optimization of workflows.
- BONUS:
- Previous involvement in procurement process design or automation initiatives.
- Knowledge of internal controls and compliance frameworks related to procurement and AP.
- ERP system experience (e.g., NetSuite)
