We’re looking for our next Administrator, RSP. Could It Be You?

The Administrator, RSP will be expected to administer government-sponsored savings and investment plans and ensure the timely and accurate processing of a wide variety of client requests to service and maintain their accounts. Registered accounts must adhere to rules set by the Canada Revenue Agency (CRA) in exchange for certain tax advantages to the account-holder.

The Administrator is a critical member of our Back-Office Operations team. This role is responsible for ensuring the accurate and compliant setup, maintenance, and servicing of client investment accounts governed by specific tax regimes (e.g., RRSP, RRIF, RESP, TFSA, FHSA). The Administrator will ensure that all actions comply with relevant government regulations to maintain the tax-advantaged status of client accounts. This role ensures the timely, accurate, and compliant processing of documents and transactions, directly impacting the integrity of client records and the firm's overall service delivery.

In this role, responsibilities include but are not limited to:

  • Process a high volume of diverse client-initiated requests, including: Withdrawals, Internal Fund and Position transfers, FX conversions, estates processing, and other account maintenance activities.

  • Ensure the accurate and compliant execution of high-risk operational functions, such Payments, following strict internal controls.

  • Review registered-plan specific account opening documents to confirm accuracy and ensure the proper set up accounts.

  • Review and validate various reports to ensure that year-end client tax slips are generated correctly for these types of accounts, and that tax reporting XMLs are created accurately and in line with the required specifications.

  • Review incoming client paperwork and forms for completeness, accuracy, and adherence to regulatory requirements (e.g., signatures, required documentation).

  • Investigate client queries and respond accordingly while maintaining exceptional levels of client service

  • Investigate and correct errors related to account setups, maintenance changes, or money movement processing.

  • Assures accurate and efficient administration of client cash and account management.

  • Complete daily processing within departmental standards, and according to service level agreements, regulatory requirements and Questrade policies.

  • Collaborate with other Questrade departments as required, namely Front Office teams, to resolve complex client service issues and discrepancies.

  • Assist in creating and maintaining team policies and procedures.

  • Input and verify data in core brokerage systems and industry platforms.

  • Maintain organized electronic documentation and audit trails for all processed requests.

  • Adhere strictly to anti-money laundering (AML), Know Your Customer (KYC), and other regulatory procedures during account maintenance and servicing activities.

  • Remain current on all internal policies and industry regulations pertaining to account administration and client data privacy.

  • Perform any other duties as required and/or assigned.

So are YOU our next Administrator, RSP? You are if you…

  • Have completed post-secondary education (preferably in administration and/or finance)

  • Have 1+ years of relevant work experience in an administrative, accounting, taxation or operations role, preferably within a regulated industry (e.g., financial services, insurance, healthcare)

  • Have a basic understanding of financial services compliance standards (e.g., KYC, AML)

  • Have excellent analytical and problem-solving skills, with an extraordinary attention to detail

  • Have strong critical thinking and ability to decompose complex concepts into simple and compelling messages

  • Are curious and engaged, takes ownership of your own learning journey by asking questions and seeking out new information

  • Have strong communication skills and the ability to collaborate effectively

  • Have proven experience with G-Suite or Microsoft Office, especially Excel/Google Sheets

  • Have a positive attitude and strong client orientation

  • Have excellent time management and organizational skills

  • Are able to multitask, and prioritize and re-prioritize workload as needed

  • Have the ability to work independently in a fast paced environment

Additional kudos if you…

  • Have completed Financial and/or investment certifications (i.e. CSC, CPH)

  • Have experience using complex financial software such as Broadridge BPS

  • Have experience working in a bank or fintech within an operations or client servicing role

  • Have an understanding of government-sponsored savings and investment accounts in Canada, the U.S.A., or the U.K.

  • Have a strong understanding of the investment industry

Compensation Information:

  • Base salary range: $45,000 - $55,000

  • The final compensation package will be commensurate with the successful candidate's experience, skills, and geographic location (Canada). It includes a comprehensive benefits plan and a competitive incentive (bonus) program for Full-Time Permanent roles.
