We’re looking for an Executive Business Partner. Could It Be You?
The Executive Business Partner will provide comprehensive, high-level administrative, organizational, and personal support to the President of Canada’s most dynamic financial institution. This is a critical, 24/7 support position requiring exceptional judgment, discretion, flexibility, a proactive approach, a strong sense of ownership to anticipate the President's needs and driving solutions autonomously. The successful candidate will act as the primary gatekeeper and organizational force, ensuring the President's professional and personal lives run seamlessly and efficiently.

In this role, responsibilities include but are not limited to:
1. Executive, Administrative, and Business Support
- Business Acumen & Relationship Management: Quickly assimilate a deep understanding of Questrade Financial Groups (QFG) operational structure, strategic goals, and current initiatives. Build, nurture and maintain high-level business relationships and comprehensive knowledge of key external stakeholders (incl. major clients, board members, regulatory contacts and corporate partners) and internally across complex multi-line business and global organizational structures ensuring seamless communication and effective stakeholder engagement.
- Communication Prioritization: Leverage business knowledge to effectively screen, prioritize, and triage communications, ensuring the President is focused on the most critical strategic and client-facing issues.
- Meeting Preparation: Prepare agendas, collect necessary briefing materials, handle A/V requirements, and take meticulous minutes for executive and board-level meetings. Ensure the President is fully briefed on the background, relationship history, and objectives related to meeting attendees (clients, regulators, etc.).
- Calendar Management: Proactively manage and optimize an extremely complex and demanding schedule, including business meetings, board appearances, high-profile industry events, and personal appointments. Anticipate conflicts and logistical issues.
- Travel Coordination: Handle all aspects of domestic and international travel, including booking flights (private and commercial), accommodations, ground transportation, detailed itinerary preparation, and managing travel logistics across multiple time zones.
- Expense Management: Process and track all expense reports, invoices, and departmental budgets with precision and confidentiality.
2. Personal and Logistical Support
- Personal Schedule: Serve as the primary point of contact for the President's personal travel and calendar scheduling. Manage all aspects of the President's personal calendar, including family engagements, doctor's appointments, reservations, and social events.
- Event Planning: Coordinate and execute professional events, ranging from small private dinners to large corporate gatherings.
- Errands and Procurement: Handle personal ad-hoc requests.
3. Operational and On-Call Support
- 24/7 Availability: Must be accessible and available to respond to urgent matters, travel changes, and executive support needs outside of traditional business hours, including evenings, weekends, and holidays.
- Crisis Management: Quickly respond to and resolve last-minute changes or emergencies (e.g., severe weather, travel disruptions, security concerns), demonstrating calm under pressure.
- Document Security: Maintain and organize a highly confidential physical and digital filing system, ensuring the integrity and security of all sensitive documents, financial records, and proprietary information.

- Have a minimum of 8-10 years of experience supporting a C-level executive (CEO, President, or Managing Director) in a fast-paced, high-stakes environment, preferably within the finance, technology, banking, or corporate services sectors.
- Have demonstrated ability to understand complex business terminology, organizational charts, and strategic priorities. Prior experience supporting executives who regularly interact with major clients and institutional investors is highly preferred.
- Have the proven ability to build, nurture, and maintain high-level, confidential business relationships externally and internally across complex, global, multi-national or multi-office organizational structures, ensuring seamless communication and effective stakeholder engagement
- Have demonstrated exceptional initiative, a proactive approach, and a strong sense of ownership to anticipate the President's needs, streamline operations, and drive solutions autonomously, ensuring the professional and personal lives run seamlessly and efficiently.
- Have the proven ability to handle highly sensitive, confidential, and proprietary information with uncompromising integrity and professionalism.
- Have expert-level skills in Microsoft Office Suite and/or Google workspace and experience with modern travel and expense management software.
- Have exceptional written and verbal communication skills, with the ability to interact confidently and professionally with board members, high-net-worth individuals, and international stakeholders.
- Have the demonstrated ability to manage complex, multi-leg international travel, including understanding visa requirements and cultural norms.
