At Evercloak, we have a part-timeopportunity for a self-motivated and organized Administrative and Executive Assistant. In this position, the Administrative and Executive Assistant will be responsible for supporting Evercloak’s leadership team as well as the organization’s day-to-day operations. This is a position that requires a multi-skilled individual to meet the needs of our small and growing business.

What you’ll do

The Administrative and Executive Assistant provides comprehensive support to Evercloak’s leadership team. Job duties include:

HR Administrative Support:

  • Providing administrative support including file management
  • Prepare payroll ensuring time sheets and accounting programs are up to date and maintain accurate records of time off tracking
  • Supporting company hiring of personnel (regular staff, co-op students), such as posting job advertisements, arranging interviews, processing applications and new hire paperwork and organizing company HR reporting.
  • WSIB administration

Accounting/Procurement Administrative Support

  • Lead the purchasing function including creating purchase orders, setting up new vendors
  • Work with external contractors to support the accounting and finance function including accounts payable/receivable, bookkeeping, tracking of receipts, expense claims, invoices, coordinate payments, etc.

General Administrative Support

  • Preparing and editing correspondence, communications, presentations and other documents
  • Assist in the preparation of regular reports, presentations, and grant applications
  • Organize staff meetings, including internal events
  • Assist in organizing vendor/client meetings
  • Support the Leadership Team with scheduling
  • Providing general administrative support, such as organizing documents, and providing other support as assigned.

· Undergraduate degree or a college diploma in a relevant discipline or equivalent

· 5+ years experience working in an office setting

· Proven experience as an administrative/executive assistant or in a similar role

· Strong organizational and time management skills

· Excellent verbal and written communication skills

· Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Gmail and other standard office software

· Ability to multitask and prioritize tasks effectively

· Strong attention to detail and problem-solving skills

· Positive and professional attitude with the ability to work independently and as part of a team

· Experience in office accounting procedures and tasks, such as processing expenses and payroll, is preferred.

Other Important Details

This is a 6-month contract position with the possibility of extension. We would like the right candidate to start with us as soon as possible. The salary range for the position is $22-27 per hour based on experience. This is a part-time position working up to 20 hours per week. This is a primarily remote position in Kitchener-Waterloo with the ability to work on-site from time-to-time.
