We are looking for a motivated Office Manager to join our team and play a vital role in our growth. As a valuable member of our team, you will ensure the efficient day-to-day operations of the office while developing and managing essential HR and financial processes. You will also support activities involving sales and marketing. This role offers the opportunity to contribute to both administrative tasks and broader operational responsibilities, becoming a key partner to the leadership team.
It is an exciting time to join Epineuron and be a part of an exhilarating journey as we launch the world’s first bioelectronic nerve regeneration system for peripheral nerve injury. You will play a central role in operations, enhancing efficiency, and streamlining processes to drive success.
Key Responsibilities:
- Oversee the daily operations of the office, liaise with building management to maintain a well-functioning workspace. Handle office supplies, deliveries, space planning, and coordinate office maintenance and repairs.
- Ensure the office is compliant with safety standards and health regulations.
- Maintain accurate employee records and oversee adherence to employment laws.
- Help coordinate talent recruitment activities, such as job postings, candidate communication, and interview scheduling.
- Develop and administer HR processes, including onboarding/offboarding, employee relations, benefits management, and policy implementation.
- Lead employee engagement initiatives, including organizing team-building events and training sessions.
- Assist with financial processes including payroll, accounts payable/receivable, expense tracking, and budget monitoring.
- Work closely with finance and external accountants to prepare for audits and maintain financial compliance.
- Manage vendor relationships, negotiate contracts, and coordinate sharing and transfer of information and goods.
- Help source and procure corporate marketing materials as needed.
- Manage customer service to facilitate sales orders, deliveries, and general inquiries.
- Organize internal events, meetings, and conferences. Arrange travel and accommodations for staff as needed.
- Support sales and marketing efforts, including coordinating conference attendance.
Qualifications:
- 3-5 years of experience in office management, HR, or operations, ideally in a fast-paced or scaling environment.
- Proven experience handling HR processes such as payroll, onboarding, and benefits administration, as well as basic accounting tasks like expense management.
- Proficiency with office tools like Microsoft Office, Google Suite, and HR/accounting software (e.g., QuickBooks, ADP).
- Strong organizational skills and the ability to prioritize, manage multiple tasks, and complete tasks efficiently.
- Excellent written and verbal communication skills, with a collaborative mindset to foster a positive work culture.
- Ability to manage projects from start to finish, ensuring timely execution of tasks.
- High level of discretion when dealing with sensitive employee or company information.
- Bachelor’s degree and/or college diploma in Human Resources, Business Administration, or a related field is preferred.
