General Description:

D2L Corporation is seeking a dynamic and high-achieving Services and Compliance Specialist to be part of its expanding team. In this role, you will act as the Alternate Company Security Officer (ACSO), which involves working closely with the Company Security Officer and Legal teams on the initiation, maintenance and renewal of security clearances for D2Lers required to work within Canadian federal client environments and protected data.

You will also administer People and Culture’s (PnC) compliance activities and programs, ensuring reporting measures and requirements are carried out on time and meet the legal requirements. In addition, you will support PnC’s Services team with a variety of initiatives and administrative tasks, such as: drafting employment change letters, HCM maintenance and updates, reporting, and data entry, as well as more general research, analysis and implementation of programs, reports and projects as required.

How Will I Make an Impact?

ACSO:

  • Support the Company Security Officer (CSO) and other Alternate Company Security Officers (ACSOs) in administering and maintaining the Government of Canada security clearance program and processes at D2L
  • In collaboration with the D2L CSO, keep up to date with ACSO responsibilities through Government of Canada online resources/toolsets to carry out your duties as the ACSO
  • Review and assist in updating D2L processes associated with security clearance and D2L staff training
  • Guide employees through the security processes, including collecting information and submitting requests for personnel security clearance
  • Ensure that security clearance application initiations, duplications, renewals, and termination of clearances, are completed and submitted in a timely and accurate manner
  • Enroll and track employee completion of applicable training courses in our internal GROW LMS
  • Respond to employee inquiries about security clearance requirements and providing advice on complex cases, handling with sensitivity and confidentiality as needed
  • Oversight on records management related to security clearance and safeguarding of applicable information and assets
  • Be the subject matter expert for the Security Clearance Tracker (SharePoint) system and coordinate with D2L IT all system upgrades / defect reports as applicable
  • Monitor the CSOACSO email inbox for system alerts and notify the CSO of escalations needing his/her input
  • Engage as necessary via email/phone Government of Canada Security Agency to expedite security clearance progress/issues with the Govt of Canada security clearance systems
  • Facilitate worldwide D2L personnel inquiries that have roles/responsibilities that are directly/indirectly supporting Government of Canada business

Compliance:

  • Lead the timely completion and/or rollout of PnC compliance initiatives, including AODA, AAP, EEO, and internal PnC compliance courses
  • Act as the PnC point person for company audits and securities processes compliance – e.g. ISO, SOC2, etc.
  • Provide regular internal compliance reporting on course completion rates across D2L, as required;
  • Ensure legal compliance by monitoring and researching applicable HR federal and provincial requirements

Services & Systems:

  • Assist with HCM maintenance and administration
  • Running ad hoc reports, updating employee information/records, updating files, performing audits, forms approvals, organizational updates, and other duties as required
  • Administer HR-related documentation, including drafting documentation for employee changes/letters, processing resignations, and other general office admin activities
  • Respond to general employee inquiries through our AskPnC and DayforceHelp email accounts, offering insight and support to resolve employee questions and issues
  • Provide guidance, direction and support to employee questions on company policies and procedures, compliance
  • Maintain confidential employee data and files, and ensure accuracy, integrity and compliance of HCM database
  • Contribute to continuous process improvements and best practices to influence PnC strategies
  • Support SVP, People and Culture, Manager, People Operations and Systems, and other PnC team members with research, analysis and implementation of programs, reports and projects as required
  • Other administrative duties as required

Competencies (What you’ll bring to the role):

  • 2+ years’ experience working in a fast-paced tech industry and/or professional business office environment
  • 2+ years’ experience working with an HRIS/HCM or similar software
  • 2+ years’ working knowledge of general HR procedures and practices including but not limited to employee information/records administration and handling of confidential or sensitive information
  • Must hold or be eligible for a Government of Canada Security Clearance (Reliability)
  • Prior experience working as an Alternate Company Security Officer (ACSO) an asset
  • Working knowledge of HR compliance requirements, employment legislation, securities/privacy, and Human Rights laws
  • Prior experience working with Microsoft SharePoint is an asset
  • Prior experience working with Learning Management Systems is an asset
  • Experience working in a deadline driven environment, with proven ability to effectively prioritize tasks and manage projects
  • Excellent time management and communication skills
  • Ability to learn quickly and work independently
  • Excel at working in a team environment and maintaining positive relationships with co-workers
  • Strong problem solving and critical thinking skills
