The Sales Operations Contracts Administrator role is ideal for a legal savvy (while not licensed attorney) professional who has strong experience managing, reviewing, redlining, and coordinating all customer contracts including pricing agreements, sales terms, renewals, and amendments. This role works closely with leadership and the sales and operations teams to ensure contracts are accurate, compliant, and aligned with company policies. The ideal candidate is detail-oriented, highly organized, and thrives in a fast-paced sales environment.

Key Responsibilities

  • Review, draft, redline and process customer sales contracts, quotes, renewals, amendments, NDAs, MSAs, SOWs, and agreements such as vendor, service, licensing, and partnership.
  • Ensure all contracts comply with internal policies, legal requirements, and business objectives.
  • Act as a liaison between Sales, Operations Specialists and Finance to facilitate contract approvals and signature processes.
  • Coordinate without external counsel when necessary.
  • Maintain a centralized repository for all sales contracts and monitor contract lifecycle, expiration dates, and renewal opportunities.
  • Coordinate pricing, discounting, and contract terms in collaboration with Sales Operations and Finance teams.
  • Assist in developing and maintaining contract templates and playbooks.
  • Ensure contracts comply with internal policies and applicable laws and regulations.
  • Support audits and due diligence processes by providing contract documentation and summaries.
  • Support the onboarding of new customers by ensuring contract data is properly entered into CRM and ERP systems.
  • Track and report on contract metrics such as turnaround times, compliance issues, and renewal forecasts.
  • Provide support to Sales Operations Specialists as needed including processing purchase orders, providing customers with order details and data entry.
  • Identify and help implement process improvements to streamline contract workflows.

Required Skills & Qualifications:

  • Bachelor’s degree in Business Administration, Legal Studies, or related field.
  • 5-10 years of experience in contract administration, preferably in a sales operation, legal, or customer-facing role.
  • Familiarity with CRM systems (e.g., Salesforce), contract management tools (e.g., DocuSign, Ironclad), and ERP systems.
  • Strong understanding of sales contract requirements, contract structures, and contract terminology.
  • Experience working with legal teams or in-house counsel.
  • Knowledge of data privacy regulations (E.G. GDPR, CCPA) and their impact on contracts.
  • Exposure to international contracts and cross-border legal considerations.
  • Experience with trade export, Controlled Goods Regulations under the Canadian Defence Production Act; as well as the regulations prescribed under the International Traffic in Arms Regulation (ITAR) Title 22, Parts 120-130 of the United States Code of Federal Regulations.
  • Familiarity with contract lifecycle management (CLM) systems is a plus.
  • Excellent attention to detail, organization, and time management skills.
  • Ability to communicate clearly and effectively with cross-functional teams.
  • Comfortable working with deadlines in a dynamic environment.
