The Youth Program Coordinator plays a crucial role in overseeing and managing the daily operations of the Circuit Stream summer camps, ensuring that both students and staff have a smooth and positive experience. This position involves a variety of tasks, from administrative support to direct interaction with students, parents, and program partners. This is a temporary full-time role for up to 9 weeks from June 23 to August 22, 2025. Candidates selected for interviews will be contacted starting in April 2025.

Note: This role will be an in-person role, 5 days per week, at designated University Campus

KEY RESPONSIBILITIES:Camp Operations Oversight:

  • Oversee the day-to-day operation of the camp, ensuring everything runs smoothly and efficiently.
  • Ensure that daily logistics, including the setup and breakdown of the camp, are completed on time and effectively.
  • Assist with administrative tasks such as setting up the camp daily, completing camp reports, and following up on absent campers.

Team Lead Responsibilities:

  • Act as the team lead for your assigned campus, ensuring that all tasks are completed efficiently and that the team is working cohesively.
  • Coordinate the efforts of all camp staff including Instructors and Teaching Assistants (TA) and assist with any logistical challenges that may arise.

Instructor and Teaching Assistant (TA) Support:

  • Provide support to instructors and teaching assistants (TAs) to ensure the delivery of a positive and impactful experience for all involved.
  • Troubleshoot any issues that arise with instructors, TAs, or students to maintain a positive learning environment.

Student Experience Monitoring:

  • Provide weekly updates to the Student Experience Specialist regarding student satisfaction, areas of concern, and any feedback that may need attention.
  • Address any issues promptly and work to resolve them to ensure a positive camp experience for all students.

Parental Engagement:

  • Engage with parents to provide updates, answer questions, and address any concerns regarding their child’s experience at the camp.
  • Maintain clear communication with parents throughout the duration of the camp.

Waiver and Safety Management:

  • Ensure all students have submitted the necessary waivers and documentation before attending camp.
  • Monitor safety protocols during all camp activities to ensure the well-being of all students, and respond to any safety-related incidents promptly.
  • Ensure that all health and emergency protocols are followed, including maintaining proper documentation for any medical needs or allergies.

Staff Training & Orientation:

  • Assist in the training and orientation of instructors, teaching assistants, and other staff members.
  • Ensure all staff are familiar with the camp’s procedures, expectations, and safety guidelines.

Coordinator of Extracurricular Activities:

  • Coordinate and manage extracurricular activities such as panels, tours, guest speakers, and special events, ensuring they align with the camp schedule.
  • Ensure that guest speakers, panelists, and tour guides are well-informed of their schedule and responsibilities. Handle any delay or logistical issues that arise.
  • Supervise student participation during these activities, ensuring students are engaged and safe.

Additional Responsibilities:

  • Carry out reasonable duties as requested by members of the Management Team to support the smooth operation of the camp.

ROLE REQUIREMENTS:

  • 1-2 years’ experience coordinating summer camp programming and/or youth after-school programs (ideally in a STEM environment)
  • Must be working towards a post-secondary diploma or degree in a relevant field, including but not limited to, education, communication, business, computer science in 3rd or 4th year and returning to studies in Fall (requirement of grant application).
  • Comfort with learning and using educational systems and software (e.g.Learning Management System D2L, Google Docs/Sheets/Slides, Discord, Hubspot, Slack)
  • Excellent professional communication skills, both written and verbal
  • Ability to prioritize tasks under pressure with excellent time management
  • Ability to work collaboratively in virtual and in-person teams through various communication channels (Slack, Email, Discord, phone, in-person, etc.)
  • Personally accountable, ability to work independently and with limited direct supervision.
  • Valid First-Aid and CPR required
  • Current and clear police information check with vulnerable sector required
  • Available for full-time hours Monday to Friday in June, July and August
  • Comfortable with $22/hour wages plus 6% vacation pay
  • Willing to participate in Work Integrated Learning grant application program
