Position Overview

Reporting directly to the CEO, the Executive Assistant is responsible for providing support to the CEO with a high-touch and high-accountability mindset and being able to anticipate needs, manage shifting priorities, and interact seamlessly with internal and external stakeholders. The incumbent will serve as an extension of the CEO, representing the Office of the CEO with professionalism, tact, and discretion in all internal and external interactions. The role requires being highly organized, self-motivated and demonstrating strong follow-through.

Key Responsibilities

  • Provide high-level confidential administrative support to the CEO, including calendar management, travel coordination, and stakeholder communication.
  • Act as a trusted representative of the Office of the CEO in all interactions and ensuring that clients, partners, and team members feel valued, while protecting executive priorities and time.
  • Arrange and coordinate meetings/events (conferences, management dinners, etc.)
  • Review, prioritize, and flag the CEO’s incoming emails; draft or respond to messages on their behalf where appropriate, ensuring timely and professional communication. Handle all correspondence with the highest level of discretion and confidentiality.
  • Manage travel arrangements and proactively address changes to minimize downstream impacts on meetings, logistics, and stakeholders.
  • Prioritize and manage competing tasks while maintaining flexibility and urgency in a rapidly changing environment.
  • Act as a liaison between the CEO and internal teams, following up on deliverables and holding stakeholders accountable, and maintain strong relationship with external stakeholders.
  • Oversee daily office operations and vendor relationships (e.g., supplies, catering, maintenance) including liaising with property/building management for office access, maintenance, and facilities-related issues.

Qualifications

  • Seasoned Executive Assistant who has “seen and done it all” with at least 5 years of experience supporting C-suite, preferably a CEO, in a dynamic business environment and takes pride in enabling successful execution of CEO priorities on a day-to-day basis.
  • Bachelor’s degree required, preferably in business administration or related field.
  • Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail and a sense of urgency.
  • Strong interpersonal skills and the ability to build relationships with stakeholders including staff, board members and external partners.
  • Expert level written and verbal communication skills, including the ability to ask clarifying questions and work with senior management, internal and external clients.
  • Proactive approaches to problem-solving and decision-making capability.
  • Proficient with Microsoft Office Suite and open to learning new software/tools.
  • Solid experience coordinating and managing events.
  • Demonstrates a growth mindset and committed to continuous improvement.
