About The Role

As Payroll Specialist, you will be responsible for managing our day-to-day payroll operations and benefits program administration for Book4Time Canadian, US, and International EOR employees (~120-150 employees). Reporting to the Director, Finance you will take ownership of our payroll and benefit administration operations, guide best practices, and help optimize our payroll and benefit practices to the evolving needs of the business.

As Book4Time’s first Payroll Specialist hire, this is a great opportunity for someone who is looking to apply their payroll expertise into an individual contributor role which will have an immediate impact on our current payroll processes and will play an integral role in shaping the future of our payroll and benefit practices.


How You’ll Make An Impact

  • Payroll Administration:
    • Preparation and accurate processing of salaried payroll for all Canadian, US, and International EOR employees
    • Calculation, processing and updating manual payments into appropriate payroll systems including commissions, expenses, RRSP contributions, wellness reimbursements, etc.
    • Manage employee data accurately within the payroll and benefit systems, including new hires, terminations, and changes in compensation or benefits
    • Preparation and delivery of employee records of employment and year end tax form
  • Benefits Management:
    • Responsible for the administration of our group benefits and RRSP/DPSP plans to ensure accurate and timely enrolment, change management, and plan terminations
    • Preparation of RRSP/DPSP reporting and contribution files
  • Reporting & Analysis:
    • Prepare and distribute payroll reports to relevant stakeholders, including finance, management and government agencies
    • Responsible for Canada and US payroll tax compliance and reporting
    • Complete US State registrations as required
  • Process Improvements:
    • Stay up to date with payroll laws and regulations and implement necessary updates to ensure continued compliance with our payroll operations
    • Guide best practices when it comes to our current payroll and benefits administration processes to drive accuracy, efficiency and effectiveness
    • Work on process improvements and ad hoc projects to align our payroll and benefit administration processes to the evolving needs of the business
  • Payroll & Benefits Main Point of Contact:
    • Main point of contact for all employee payroll related issues and questions
    • Provide guidance to employees on benefit plan administration processes

What We’re Looking For

  • Minimum 3 years of relevant experience administering payroll and benefits in Canada and US (~100-150 employees); preference for multi-jurisdiction experience
  • Thorough understanding of payroll and benefits compliance, legislation and reporting requirements
  • Attention to detail and ability to handle multiple priorities
  • Excellent oral and written communication skills
  • Proficiency in HRIS/Payroll software such as Ceridian, ADP, etc.
  • Strong problem solving and analytical skills
  • Advanced computer skills including experience with Microsoft Office (especially Excel)
  • Creative aptitude with ability to think outside the box when making recommendations
  • Strong organizational and time management skills
  • Excels in a collaborative team environment and ability to work with minimal supervision

It’s a bonus if you have:

  • Experience with International and/or EOR payroll and benefits administration
  • Experience with payroll, benefits, and reporting administration for Quebec
  • Bilingual and fluent in English and French
  • Certified Payroll Profession (CPP) or any other related payroll certification
